Job Description

Result of Service

The Admin and Finance assistant will provide critical administrative and financial services to the Representative Office in Cairo.

Duties and Responsibilities

  • Handles day-to-day administrative functions, including fleet management, office filing and record-keeping of documentation; receives and responds to public visitors and inquiries; monitors and responds to correspondence received through the office's general inbox in a timely manner.
  • Prepares the office's annual procurement plan and associated budget; raises and processes procurement requests through the SAP system, including Purchase Requisitions (PRs), Purchase Orders (POs) and Service Entry Sheets (SES), in compliance with CSSD policies and regulations; prepares tender documentation, invitations to bid, and requests for proposals as required.
  • Maintains accurate inventory records; ensures the proper functioning of office equipment through preventive maintenance, and coordinates repairs as necessary.
  • In coordination with the Finance Department, processes payments to suppliers, prepares monthly imprest fund reports, monitors expenditure and reviews supporting documentation to ensure compliance with policies and procedures. In coordination with the Budget and Executive Office, supports the preparation of the annual budget, quarterly forecasts, and funds transfer requests.
  • Supports the organization of high-level visits to Egypt, including protocol matters and logistical arrangements are addressed in a timely manner; arranges and provides logistical support for meetings, workshops, official missions and events, in coordination with relevant HQ and Field departments.
  • Provides and processes translation support for documents and correspondence from Arabic to English and vice-versa, for internal and external use.
  • Performs other related duties as may be required.

Qualifications/special skills

University degree in public or business administration, economics or related field Four years’ professional experience in similar financial, administrative or logistical functions in an international, governmental or commercial organization

Languages

English and Arabic are the working languages of UNRWA. For this assignment, fluency in both Arabic and English are required.
