Job Summary

The Development Strategies and Governance Unit (DSGU) of the International Food Policy Research Institute (IFPRI) seeks a qualified candidate to serve as an Administrative and Finance Assistant. This is a one-year, renewable position based in Port Moresby, Papua New Guinea (PNG). IFPRI is currently delivering the Agriculture, Food and Nutrition Policy Support Program (PNG-AFNP, 2024-2028), supported by the Australian Department of Foreign Affairs and Trade (DFAT) through the Australian High Commission (AHC) in Port Moresby, and the Australian Centre for International Agricultural Research (ACIAR). The successful candidate will assist with administrative, finance, and operational aspects of the PNG-AFNP.

Essential Duties:

Specific duties and responsibilities include but are not limited to:

  • Monitoring consultant collaborative agreements, serve as liaison between program collaborators and finance/administrative issues, prepare monthly financial reports, and provide financial analysis reports on projects
  • Assist in processing invoices, update invoice list database on a weekly basis.
  • Follow up on signing agreements and invoices.
  • Complete expense reports from collaborators; review staff-completed expense reports.
  • Complete expense reports.
  • Scan documents for .pdf storage and accessibility.
  • Provide occasional assistance with PowerPoint and Word documents.
  • Schedule meetings and maintain electronic calendar and contact list.
  • Complete other administrative, finance, and operational tasks assigned by the Program Leader

Required Qualifications:

  • High School Diploma and one year of relevant professional experience.
  • High proficiency with computers: Knowledge of MS Office, especially Outlook; experience with spreadsheets and word processing, preferably Microsoft Excel and MS Word; familiarity with computer networks, e-mail, and the Internet.
  • Excellent English language skills.
  • Demonstrated administrative experience.
  • Demonstrated understanding of simple accounting procedures.
  • Ability to prioritize tasks and work responsibly with minimal direction and supervision.
  • Detail-oriented and ability to follow-through to closure.
  • Ability to adjust to unexpected urgent matters.
  • Responsible with confidential material; comfortable working with financial information.
  • Experience working in an international setting.

Preferred Qualifications:

  • Proficiency in Tok Pisin
  • Proficiency in office management and project management software

Physical Demand & Work environment:

  • Employee will sit in an upright position for a long period of time
  • Employee will lift between 0-10 pounds
  • Employee is required to have close visual acuity to perform activities such as: preparing and analyzing data and figures; transcribing; viewing computer terminal; extensive reading.
