GGGI’s Guyana country program is growing and currently includes six projects. All projects provide embedded advisory support to the government through various agencies to develop effective policies and strategic plans, build capacities, and mobilize sustainable finance for the implementation of priority plans and projects.
Based in Georgetown, the Finance, Administration and Procurement Associate provides operational support across finance, administration and procurement functions to ensure the efficient delivery of country programme activities. The position executes multi-step transactions, maintains financial and operational records, supports procurement processes, administers office operations and logistics, and contributes to compliance with GGGI policies, procedures and donor requirements. The role works closely with programme staff, vendors, government counterparts and service providers to support timely, accurate and cost-effective operations.
The Finance, Administration and Procurement Associate supports the effective implementation of country office operations through the execution of finance, procurement and administrative processes. The position:
Execute financial and administrative transactions in accordance with GGGI policies, procedures and delegated authorities.
Supports expense verification and financial documentation processes.
Maintains accurate financial, procurement and administrative records and filing systems.
Support procurement planning, sourcing, solicitation, evaluation and contracting activities in compliance with the organisational regulations.
Assist in the preparation of procurement documentation, purchase orders, contracts and vendor records.
Coordinate logistical and administrative arrangements for meetings, workshops, missions and events.
Support office facilities, assets, inventory management and service provider administration.
Assist with budget monitoring, expenditure tracking and financial reporting requirements.
Contribute to operational compliance by ensuring complete and auditable records are maintained.
Ensure process integrity across a wide range of services relevant to areas such as finance, human resources, procurement, IT, and Travel, meeting established GGGI policies, standards, and donor requirements, ensuring value for money and compliance, as well as carrying out other operational, and administrative functions.
Report directly to the Finance, Admin and Procurement Senior Associate (based in Guyana)
Work closely with the Country Representative, program manager, project managers, the Finance, Admin and Procurement Senior Associate and colleagues from the Caribbean, regional, and headquarters to keep monitoring of the budget execution and its implementation.
Provide information and guidance to staff regarding financial, procurement and administrative processes and requirements.
Liaise with vendors, consultants, service providers, banks and government entities regarding routine operational matters.
Coordinate with programme teams to support procurement planning and implementation schedules.
Facilitate the collection, verification and exchange of documentation required for financial and procurement transactions.
Support communication with internal operational units and headquarters teams on finance, procurement and administration matters.
Maintain professional working relationships with suppliers and stakeholders to support effective service delivery.
Contribute to a collaborative and service-oriented working environment.
Prepare and update, as needed, project budgets under relevant budget categories (chart of accounts and donor expense categories).
Prepare monthly monitoring reports/ spreadsheets of project budgets, highlighting potential risks in the budget execution.
Prepare financial reports to donors and provide support for financial auditing by gathering the relevant information.
Carry out transactions in the ERP, such as requisitions, amendments, payments (for individual consultants, firms and general providers), submission of claims, and procurement of equipment and services, among others.
Execute multi-step procurement processes, including quality control and review of submitted documents from users to ascertain compliance with rules.
Assist the team in all procurements, including negotiation definition between project leads and vendors, contract issuance, authorization of payments, submission of claims, requisition transactions, and others.
Monitoring monthly staff time by project (Timesheets record).
Prepare monthly Corporate Credit Card reconciliation and register all related expenditures.
Supports office management activities, including meeting room management, office spaces, supplies and IT management.
Assist with the recruitment processes of Staff, Consultants and Interns through the E-Recruitment system, including uploading ToR's for GGGI's website publication, setting up interviews with candidates and following up throughout the process until the final candidate is contracted and onboarded.
Bachelor's degree in Finance, Accounting, Business Administration, Procurement, Public Administration or a related field.
Professional certification or training in procurement, finance or administration is an asset.
Preferred 4 to 5 years of professional experience in finance, procurement, administration or operations support.
Experience supporting procurement processes, vendor management and contract administration is desirable.
Experience working with international organizations, development agencies, NGOs or public sector institutions is an advantage.
Good level of proficiency in Microsoft Office applications (Word, Excel, PowerPoint, etc.), as well as Enterprise Resource Planning (ERP) or similar financial management and office productivity systems.
Experience working in teams with varied levels of responsibilities.
Experience coordinating operational services with the team, ensuring service quality and compliance.
Excellent organizational skills with the ability to manage multiple priorities and deadlines.
Strong English communication (speaking, writing and presentation) skills.
Expertise with reliable hands in Microsoft Office.
Guyana citizens or entitled to work in Guyana.

The Finance, Admin and Procurement Associate is a National Position at G6 grade level in GGGI’s Guyana national salary scale. The salary range for the position starts at USD 22,458 per annum, depending on qualifications, experience and internal equity.
GGGI provides 15% of base salary towards retirement plan/long-term savings, 27 days of annual leave, and private health insurance that covers dental and vision. The chosen candidate is expected to be based in Georgetown, Guyana, and will report directly to the Finance, Admin and Procurement Senior Associate (also based in Guyana).
