1 MISSION OF THE DEPARTMENT

The Director General's Office unites and supports WWF International and the Network in unleashing the full potential of our federated structure through robust governance, strategic internal and external engagement, and special projects. Operating in line with WWF’s Values, the Office facilitates impactful, accountable, and inclusive decision-making for WWF International and the Network’s governing bodies, including the International Board (IB), Network Executive Team (NET), Council, Assembly, Board and NET Committees, the WWF International Executive Team, and the WWF International Senior Leadership Team. It engenders network-wide coordination and action towards WWF’s priorities as set by these governing bodies; ensures the institutional arrangements and structure of the network are sound and operating with integrity; and drives results towards the highest priorities of WWF's Director General and President.

2 MAJOR FUNCTIONS

Supports the Governance and Network Engagement Team in delivering effective and strategic meetings for the International Board, Council, Network Executive Team (NET), Assembly, and other governance or advisory groups, including the Indigenous Peoples Consultative Group (IPCG). Researches, verifies and distils wide ranging and relevant content (e.g. related to the environment/development/sustainability) and provides substantive support to strategic priorities. Provides administrative support to the Special Advisor to the Director General.

3 MAJOR DUTIES AND RESPONSIBILITIES

Governance and Network Engagement Team Coordination

Schedules meetings and maintains the calendar for all major governance bodies (i.e. International Board, Network Executive Team, Council, Assembly, and their subcommittees and working groups), in coordination with the Director, Governance Operations and Executive Assistant to the DG. Supports logistics as requested for in-person governance meetings.
Supports delivery of final packages of documentations for key meetings by following up with subject matter experts as needed, organizing diverse file types and versions, editing content as requested, and creating a crisp, clear, PDF that is easy for senior executives to digest.
Supports the team in data entry related to the governance bodies, including database(s) for forward agendas, actions, decisions, terms, etc.
Coordinates Governance and Network Engagement Team meetings and retreats, including logistics and co-creation of agendas.

Content Development and Management

Supports the Special Advisor in translating complex information into clear, visually appealing presentations – including the design, development and editing of slide layouts and other visual elements – for use in high-level governance meetings, external events, and/or internal decision-making.
Researches, checks facts, and develops reports and other preparatory documents to inform strategic decision-making for internal and external stakeholders.
Leads vision for and maintenance of the Governance and Network Engagement Team's documents and virtual presence, including internal team file system and the Network Governance Hub on OneWWF, a key strategic communication platform for the Network

Administrative Support

Provides administrative assistance to Senior Advisor, including calendar management, travel arrangements, and expenses. Supports in managing correspondence, including drafting, editing, and/or sending communications as requested.
Provides full support for the Senior Advisor's participation in key meetings, conferences, and other events, including coordination and thorough preparation of documents and briefing packs.
Serves as the primary liaison with the Finance department and supports oversight of the budget.
Performs other tasks as assigned by the Senior Advisor

4 PROFILE

Required Qualifications.

3-5 years professional experience in research, coordination, and/or as an assistant training to executive level senior management
Demonstrable ability to deliver clean, visually compelling materials (PowerPoint, Adobe PDF)
Experience in data entry, travel arrangements, and other administrative support
Comfortable with Adobe and the Microsoft suite (especially PowerPoint, Project, and SharePoint)

Required Skills and Competencies.

Attentive to detail and follow-up, with excellent organisation and prioritisation skills;
Ability to take initiative, prioritise, complete work with minimal supervision and meet deadlines;
Independent and highly meticulous, with the ability to manage several projects simultaneously;
Keen eye for visual nuances, strong sense of aesthetics, and experience designing through PowerPoint or other software
Works to the highest level of integrity and confidentiality;
Excellent communications and interpersonal skills;
Ability to work in a multicultural environment;
Capacity to take initiative as part of a team;

5 WORKING RELATIONSHIPS

Internal.

Regular interaction with the Director General, International Board, Council, Network Executive Team, WWF CEOs and their assistants, as well as senior leadership across WWF International.

External.

Interacts with other WWF organizations and partners. Builds relationships with key vendors in the greater Geneva area.
