Job Description

Result of Service

The Project Support Consultant will provide day-to-day coordination, administrative, and documentation support for the implementation of the Digital Archive Initiative within the Relief and Social Services Department (RSSD). The Consultant will support the project team by organizing and documenting meetings, tracking project progress and agreed actions, maintaining project records and management tools, following up with stakeholders on outstanding tasks, and preparing routine progress updates, presentations, and other project documentation. The Consultant will help ensure that project information is accurate and up to date, meetings and follow-up actions are well coordinated, deadlines and deliverables are tracked, and management receives timely information on implementation progress and outstanding issues.

Expected duration

12 months, renewable upon satisfactory performance evaluation and funds availability.

Duties and Responsibilities

The Project Support Consultant will: 1) Coordinate project meetings, including scheduling, agenda preparation, circulation of materials, and meeting logistics. 2) Take meeting notes and minutes, documenting key discussions, decisions, action points, responsibilities, and deadlines. 3) Maintain action trackers and follow up with project teams, consultants, vendors, and other stakeholders on outstanding actions. 4) Track project progress against workplans, timelines, milestones, deliverables, and deadlines, highlighting delays or issues requiring attention. 5) Prepare routine project updates, progress summaries, briefing notes, presentations, and other reporting materials for management and stakeholders. 6) Support coordination among RSSD colleagues, archive and research teams, consultants, vendors, service providers, and other project stakeholders.7) Assist with stakeholder consultations, workshops, project reviews, donor-related activities, and other project meetings and events. 8) Perform other project coordination, documentation, and administrative support duties related to the initiative as assigned.

Qualifications/special skills

EDUCATION An advanced university degree (Master’s degree) in project management, business administration, public administration, management, international relations, development, social sciences, information management, or another relevant field is required. A first-level degree (bachelor’s degree) in the specified fields of studies with two additional years of relevant work experience may be accepted in lieu of the advanced university degree. Professional training or certification in project management, programme management, administration, information management, or a related area is desirable. EXPERIENCE 1) A minimum of two years of relevant experience in project coordination, project support, administration, operations, or a related field is required. This must include at least 1 year of international relevant experience outside of the candidate’s home country, country of citizenship and country where the candidate have permanent residence. 2) Experience organizing meetings, preparing minutes, tracking actions, and following up on deadlines and deliverables is required. 3) Experience preparing progress updates, presentations, reports, and maintaining project documentation is required. 4) Experience coordinating with multiple stakeholders, consultants, vendors, or service providers is desirable. 5) Experience working on issues relating to Palestine refugees, Palestinian history and heritage, or the Middle East region is desirable. 6) Experience with the United Nations or international organizations is desirable. 7) Experience on archive, digitization, or research projects is desirable.

Languages

Excellent command of written and spoken English. Working knowledge of Arabic would be an asset.

Additional Information

Remuneration will be set at 5,500 USD per month.
