The UNOPS Global Portfolios Office (GPO) brings together diverse expertise to help partners deliver impact worldwide. We work closely with major global partners - including governments, international financial institutions, and UN agencies - to deliver a wide range of services, such as project management, fund management, hosting services, and HR support.

The New York Portfolios Office (NYPO) manages UNOPS' New York-based portfolios, delivering project and programme management, procurement, HR, and financial services to global partners, from the UN Secretariat to Member States. NYPO strategically positions UNOPS with these partners, fostering collaboration to achieve growth and leveraging expertise in global portfolio design and implementation. We support the broader SDGs and 2030 Agenda, primarily assisting the UN Secretariat and other New York-based UN entities with a global reach. NYPO encompasses the Peace and Security Cluster (PSC), focusing on explosive threat management, and the Sustainable Development Cluster (SDC), providing diverse operational support to the UN system in New York.

The Intern provides operational, administrative, and logistical support to the Support Services Unit. Under the direct supervision of the Support Services Associate, the intern will assist in the day-to-day delivery of support functions including general administration, procurement, asset management, logistics, and human resources, support in ensuring compliance with UNOPS rules, regulations, and operational policies.

1. Procurement Support

• Assist in the coordination of administrative procurement activities for the UNOPS office.
• Assist in drafting solicitation documents, receiving and opening bids, and preparing preliminary evaluation summaries/reports.
• Assist with vendor profile creation and transaction processing in the oneUNOPS system.
• Maintain and update the procurement plan and procurement tracking sheets in a timely manner.

2. Asset and Logistics Management Support

• Assist the team in organizing, maintaining, and updating asset inventory records and databases.
• Support asset tagging exercises, regular stocktaking, and physical inventory verifications.
• Assist in cross-checking and reconciling asset data across tracking tools (WASP / oneUNOPS).
• Coordinate transportation arrangements and logistics requests with project teams.

3. Administrative and Logistical Support

• Assist in making administrative arrangements for events, workshops, and meetings.
• Support travel management administration, including flight bookings.
• Support the administration of visa requests, protocol documentation, and liaison logs.
• Assist in receiving, recording, organizing, and routing official correspondence.
• Assist in the administrative handling and recording of petty cash in accordance with UNOPS financial policies.
• Maintain organized physical filing systems and digital archives (Support Services Drive) to ensure smooth payment processing and audit readiness.
  

4. Human Resources Support

• Provide administrative support to recruitment processes (drafting job postings, organizing candidate files, and scheduling interviews).
• Assist in drafting interview minutes/panel reports
• Support the organization of onboarding activities and induction materials for new personnel.

5. General Support

• Support the integration and implementation of organizational policies, including the Gender Parity Strategy and Prevention of Sexual Exploitation and Abuse (PSEA) principles.

Required:

• Applicants must be enrolled in a university programme such as Bachelor, Masters or Ph.D. (or the equivalent) or have graduated from such studies within three (3) years prior to the applications date of the internship

Desired:

• Area of study should preferably be in areas of Business, Administration, Asset and Logistics, Procurement, Data Analytics, Management, International Relations or other related areas.

• Experience in administrative support, support services, procurement, asset and logistics, or human resources in an international organization setting.
• Experience in use of Google Suite (in particular Slides, Docs, Sheets) is an advantage
• Experience in Data Analysis is highly desirable, in particular the use of data studio and Google Sheets.
