Org. Setting and Reporting
ECA's mission is to deliver ideas and actions for an empowered and transformed Africa; informed by the 2030 SDGs and Agenda 2063. The mission is guided by ECA's five new strategic directions which are: advancing ECA's position as a premier knowledge institution that builds on its unique position and privilege to bring global solutions to the continent's problems and take local solutions to the continent; developing macroeconomic and structural policy options to accelerate economic diversification and job creation; designing and implementing innovative financing models for infrastructure, and for human, physical and social assets for a transforming Africa; contributing solutions to regional and transboundary challenges, with a focus on peace security and social inclusion as an important development nexus; advocating Africa's position at the global level and developing regional responses as a contribution to global governance issues The African Centre for Statistics (ACS) is headed by a Director and reports to the Deputy Executive Secretary (Programme). The Centre is responsible for improving the production, dissemination and use of quality data and comparable data and statistics in Africa to support evidence-based policymaking, planning, implementation, monitoring and reporting under the 2030 Agenda for Sustainable Development and Agenda 2063 The Africa We Want. It is divided into three main sections: Data Capability and Geospatial Knowledge Section (DCGKS) dealing with data systems and governance, data analytics and innovation and integrated geospatial knowledge infrastructures; Statistical Production, Methods and Research Section (SPMRS) dealing with statistical products, statistical methods and professional standards and statistical research and innovation; and Coordination, Partnerships, and Policy Outreach Section (CPOS) dealing with national and regional strategy harmonization, coordination and technical guidance and partnership, advocacy, and policy outreach. This position is located in the Office of the Director of the African Centre for Statistics in the United Nations Economic Commission for Africa (ECA). The incumbent of the position works under the overall guidance of Director of the African Centre for Statistics, and reports to the Senior Administrative Assistant.

Responsibilities
Within limits of delegated authority, the Team Assistants will be responsible for the following duties: • Performs a wide range of office support and administrative functions. • Responds or drafts responses to routine correspondence and other communications; uses standard word processing package . • Monitors processes and schedules related the unit’s outputs, products, tasks, etc.; where applicable, assists in the verification of receipt and accuracy of requisite documents, approvals, signatures, etc. Researches, compiles and organizes information and reference materials from various sources for reports. • Screens phone calls and visitors; responds to moderately complex information requests and inquiries (e.g. answers requests requiring file search, etc.), and as necessary, refers inquiries to appropriate personnel for handling. • Provides secretarial, administrative and logistics support to meetings, boards, committees, conferences, etc. Provide electronic reference numbers for out goings correspondence and assist in maintaining the division elevction filling system • Assists in the preparation of presentation materials using appropriate technology/software. • Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit. • Reviews, records, distributes and/or processes mail and other documents; follows-up on impending actions. • Updates and maintains large distribution lists; monitors, prepares and distributes various materials, reports, where possible using electronic formats; handles arrangement for printing and translation as necessary; coordinates shipment arrangements, courier services, etc. • Performs general administrative tasks (, arrangements for meetings and other events, reservations, to include preparing and/or processing administrative requests/documents (e.g. requisitions, purchase orders, travel requests, contracts, expenditure authorizations, visa applications, etc.). • Maintains files (both paper and electronic) and databases for work unit. Assists with the collection and analysis of data as well as preparation of reports. Assists with updating information material • Performs other duties as assigned. Work implies frequent interaction with the following: Staff in related organizational units across the institution. Visitors and representatives from Permanent Missions, UN Common System and other international organizations, NGOs, etc. Results Expected: Effectively delivers of a wide range of administrative and office support functions under moderate supervision. Regularly assists in drafting routine correspondence and other communications. Accurately and in a timely manner, produces a range of documents, reports and other outputs. Appropriately applies relevant policies, guidelines, procedures and processes. Establishes effective working relationships with internal and external contacts at all levels.
