THE OPPORTUNITY

Plan International Ghana is looking for a young, talented, enthusiastic and qualified professional to join our team as a Sponsorship Assistant. The role is based in the Southern Program Impact and Influencing Area (SPIIA) and the successful candidate will be responsible for supporting the monitoring, coordination and quality assurance of sponsorship activities. The role will also provide technical and administrative support to the Sponsorship Communications Coordinator in the supervision of sponsorship communications, data processing, volunteer management and community engagement, ensuring compliance with Plan International’s sponsorship standards and safeguarding requirements.

MAIN ACCOUNTABILITIES

  • Coordinate and review the production and processing of sponsorship communications items to ensure accuracy, timeliness and compliance with safeguarding standards.
  • Conduct 100% quality checks on questionnaires, photos, sponsor child gifts, letters and digital communications before processing and uploading into ChildData.
  • Manage Sponsor Child (SC) folders, files and the file room in line with the Sponsorship Manual guidelines and local policies.
  • Ensure timely printing and distribution of SC and family photos, graduation and farewell letters, as well as replacement SCIs with quality content and photos.
  • Carry out home visits and verification of sponsor children to validate information, safeguard children and capture their perspectives on Plan programs.
  • Support the preparation of Sponsorship Program Area (SPAR) documents, reports and annual sponsorship operational plans and budgets.
  • Assist in the identification and facilitation of eligible children and volunteers for the sponsorship program, ensuring adequate logistics for sponsorship activities.
  • Monitor, supervise and collaborate with Data Entry Clerks, Field Data Collectors, volunteers and youth groups to achieve sponsorship commitments and standards.
  • Support sponsor visits preparation and ensure compliance with local sponsor visit guidelines and processes.
  • Respond to National Office inquiries (NOIs) and resolve issues in line with agreed timelines and quality standards.
  • Ensure all sponsorship processes, communications and engagements are implemented in accordance with Plan International’s safeguarding, child protection, and gender equality policies.
  • Perform any other duties as assigned by the Sponsorship Communications Coordinator or PIIA Manager to support effective program delivery.

THE INDIVIDUAL

Qualification and Experience

  • Diploma or HND in Communications, Project Management, Marketing, Data Processing or related fields.
  • Relevant professional experience in communication, marketing, project management, data processing, tracking and monitoring.
  • At least 2 years’ experience as a Data Entry Clerk, Community Facilitator, Administrative Assistant or related role.
  • Good command of the English language.
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Internet, Teams etc.).
  • Experience working with international NGOs and knowledge of ChildData/CD-PET systems will be an advantage.

Note: The position is based in Ho, Volta Region, Ghana. The successful candidate must either be currently based in Ho or be willing and able to relocate to and take up the role in Ho. Please note that relocation support will not be provided for this position.
