PATH’s Primary Health Care (PHC) program strengthens health systems and advances integrated approaches to improve maternal, newborn, child, and adolescent health, infectious disease prevention and treatment, and access to quality primary care services globally.
PATH is currently recruiting a Senior Program Assistant to provide senior-level administrative and programmatic support for the PHC team. This will include executive administrative support for PATH’s Global Primary Health Care Director (50%) as well as support for the SAFEStart+ project and PATH's engagement with key global health stakeholders in Geneva and globally (50%). SAFEStart+ is a four-year, multi-country initiative funded by Unitaid and other partners that aims to scale up integrated strategies to eliminate the vertical transmission of HIV, syphilis, hepatitis B, Chagas disease, and other emerging diseases.
This role is ideal for a professional who excels at managing competing priorities, coordinating stakeholder engagement, and translating strategic objectives into efficient administrative and operational execution. The successful candidate will serve as a trusted partner to the PHC Director and SAFEStart+ leadership, helping manage priority meetings, engagements, and strategic priorities.
This is a fixed-term position with an initial funding of 12 months and is contingent upon the continued availability of funding beyond the initial contract period of 12 months.

Key responsibilities
Executive support to the Global PHC Director (50%)
- Serve as the primary point of administrative contact and liaison for the PHC Director.
- Manage a complex global calendar, ensuring alignment with the Director’s priorities and efficient use of time.
- Support coordination of engagements with senior leaders, donors, partners, and government representatives, including meeting scheduling, logistics, preparation, and follow-up correspondence.
- Coordinate end-to-end travel arrangements for the PHC Director including international travel itineraries, visas, logistics, expense reporting, and travel documentation.
- Help develop trip expense reports, and support trip or meeting summaries, after actions, and post-trip/meeting communications.
- Support the execution of key internal and external meetings and events, including agenda development, preparation of slides, briefing and background materials, note-taking, action tracking, and follow-up.
- Serve as a liaison between the PHC Director and teams across PATH, facilitating communication, coordination, and follow-up on key actions.
- Develop and maintain dashboards, trackers, and summary materials to support decision-making, reporting, and tracking of priority actions, decisions, and commitments across the PHC portfolio.
- Collaborate with other program assistants in the PHC program to maintain general listservs, email distribution lists, electronic filing systems, and shared calendars, and collaborate on general administrative support to maintain coordinated and organized team logistics.
SAFEStart+ and Geneva engagement support (50%)
- Provide support for key external meetings and engagements.
- Provide event planning and logistical support, including scheduling, sending invitations, participant communications, preparing event-related materials, venue arrangements, applying audience engagement platforms like Mentimeter, capturing attendee information, drafting meeting notes and coordinating review, distribution, and filing.
- Prepare agendas, briefing packs, and background documents to support effective external engagements with partners and donors.
- Coordinate speaker logistics, travel arrangements, and schedules for conferences and external events.
- Coordinate procurement of services and supplies and work with PATH procurement and administrator colleagues to manage vendors and suppliers.
- Draft correspondence to donors, partners, and collaborators including cover letters, thank-you letters, and general email correspondence.
- Assist with formatting and proofreading documents, presentations, reports, and other communication materials.
- Provide knowledge management support, utilizing Teams, SharePoint, Box, and OneNote to track partner requests, information needs, and action items and ensure timely follow-up by technical and program teams.
- Maintain stakeholder databases, distribution lists, and contact records to support engagement and communications.
- Assist project leads with project management tasks (e.g. creating project timelines, Gantt charts, work breakdown structures), tracking project deliverables, and donor reporting.
- Assist project with travel arrangements and expense reports, teleconferences, and complex schedule coordination.
Required experience and qualifications
- Bachelor's degree plus 3 years of directly related administrative and program support experience, or an equivalent combination of education and experience.
- Demonstrated skills in diplomacy across stakeholders; strong interpersonal and intercultural skills and ability to work in a multi-cultural work environment.
- Effective use of AI tools and excellent computer skills using MS Office Suite, particularly Excel, PowerPoint, Teams, OneNote and SharePoint. Additional software experience desired such as Smartsheet, Mentimeter, Miro.
- Demonstrated experience coordinating external stakeholders across multiple countries and institutions.
- Proven effectiveness working in a team environment with minimal supervision.
- Experience organizing complex meetings, events, and international travel.
- Strong judgement, and excellent prioritization and organizational skills.
- Strong written and verbal communication skills.
- Excellent proofreading and editing skills.
- Professional fluency in English required; French strongly preferred.
- Must have legal authorization to work in Switzerland and be available to work in the Geneva PATH office.
