Job Description
Accountabilities:

Under the supervision of the Director and within delegated authority, the incumbent will be responsible for the following:

  1. Support planning, monitoring and programme management by:
    • Supporting the preparation and monitoring of annual workplans, programme implementation plans and inputs to strategic planning processes.
    • Assisting in the development and maintenance of results frameworks, logical frameworks, performance indicators and programme monitoring tools.
    • Monitoring implementation of programme activities and supporting follow-up on agreed actions and deliverables.
    • Supporting the compilation, analysis and presentation of programme information to facilitate evidence-based decision making.
    • Assisting in maintaining programme monitoring databases, tracking systems and organizational records.
    • Contributing to the documentation of lessons learned, good practices and recommendations for continuous improvement.
    • Supporting quality assurance of programme documentation and reporting.

  2. Support planning, monitoring and programme management by:
    • Assisting in the implementation of monitoring and evaluation frameworks for projects and programmes.
    • Supporting the collection, compilation and analysis of qualitative and quantitative programme information.
    • Contributing to the preparation of donor reports, progress reports, annual reports and other institutional reporting requirements.
    • Assisting in preparing analytical summaries, briefing notes and management reports.
    • Supporting beneficiary feedback, lessons learned and impact assessment activities.
    • Assisting in preparing documentation required for evaluations, audits and programme reviews.
    • Supporting follow-up on recommendations arising from evaluations and reviews.
  3. Support partnerships and resource mobilization by:
    • Assisting in researching prospective donors, partnership opportunities, and funding opportunities.
    • Supporting the preparation of concept notes, funding proposals, partnership briefs and resource mobilization materials.
    • Assisting in coordinating meetings and consultations with governments, donor agencies, United Nations entities, international organizations, academia, philanthropic organizations and private sector partners.
    • Supporting donor reporting and partnership communications.
    • Assisting in maintaining partnership databases and tracking engagement activities.
    • Preparing background notes, presentations and briefing materials for senior management.
  4. Support data analysis, digital innovation and knowledge management by:
    • Supporting analysis of programme information and organizational data to contribute to evidence-based decision making.
    • Assisting in preparing dashboards, visualizations and analytical products using appropriate digital tools.
    • Contributing to the responsible application of digital technologies, including artificial intelligence where appropriate, to improve reporting, knowledge management and administrative workflows, consistent with United Nations policies and standards.
    • Assisting in identifying opportunities to improve business processes through automation and digital innovation under the guidance of senior staff.
    • Supporting organizational knowledge management by maintaining information resources and documenting institutional experience.

  5. Support communications, outreach and visibility by:
    • Assisting in the preparation of communication materials highlighting programme achievements, organizational results and impact.
    • Supporting the preparation of annual reports, newsletters, presentations, publications, website content and other communication products.
    • Contributing to the preparation of impact stories, case studies and knowledge products for partners and donors.
    • Supporting the organization of meetings, workshops, conferences and outreach events.
    • Assisting in preparing speeches, briefing notes and presentation materials for senior management.
  6. Support coordination and collaboration by:
    • Supporting coordination of planning, monitoring, reporting and partnership activities across technical teams.
    • Assisting in organizing internal coordination meetings, management reviews and follow-up actions.
    • Monitoring implementation of agreed actions and supporting timely follow-up.
    • Contributing to maintaining programme documentation and information management systems.
    • Providing coordination support for cross-functional initiatives and organizational priorities.
  7. Perform other duties as required.
Work implies frequent interaction with the following:

Within UNITAR: Management and UNITAR personnel.
Outside UNITAR: Officers and technical staff in relevant UN Secretariat units and in UN funds, programmes and specialized agencies, as well as representatives and officials in governments, international organizations, development banks, donor agencies, non-governmental organizations, universities, research institutions, consultants, philanthropic organizations and the private sector.

Results expected:

The work of the incumbent will contribute to the effective implementation of planning, monitoring, reporting, evaluations, partnerships, monitoring, and organizational learning across the United Nations Satellite Centre.
Key areas of focus include:
• Supporting the implementation of planning, monitoring and reporting processes across programme portfolios.
• Contributing to the preparation of high-quality donor reports, analytical products and communication materials.
• Assisting in partnership development, stakeholder engagement and resource mobilization activities.
• Supporting organizational learning, knowledge management and evidence-based decision making through analysis of programme information and the appropriate use of digital technologies.

Competencies:

Ability to identify issues, analyse information and participate in the resolution of operational and programmatic issues and challenges. Conceptual analytical and evaluative skills to conduct independent research and analysis, including familiarity with and experience in the use of various research sources, including electronic sources on the internet, intranet and other databases. Ability to collect, analyse and synthesize qualitative and quantitative information, monitor progress against results frameworks, and prepare high-quality reports, briefing materials and donor communications. Ability to apply judgment in the context of assignments given, plan own work and manage conflicting priorities.
