Job Description
We are seeking an Expat Service Administrator for 2-year-regular position (renewable) to work within the Human Resources Department at the International Vaccine Institute in Seoul, Korea. (Duty station: Seoul, Korea)

Job Description

This role supports the delivery of expat services at IVI by handling day-to-day administrative tasks and ensuring timely and accurate support for internationally recruited staff in line with internal policies and regulatory requirements.

Key Roles & Responsibilities

1. Maintain and improve expat service

  • Develop and update expat service guides and materials
  • Stay up to date on immigration policies and tenancy law
  • Maintain trackers and ensure data accuracy across expat service records

2. MOFA & Immigration Assistance

  • Support MOFA-related processes in compliance with applicable regulations, including preparation and submission of required documentation
  • Coordinate with overseas missions and relevant authorities on visa-related matters and support visa applications and extensions for expat staff and their dependents

3. Housing Management

  • Coordinate housing arrangements including home search and lease documentation
  • Assist in lease contract preparation
  • Manage communication with real estate agents and vendors
  • Support move-in and move-out processes
  • Monitor and follow up on housing-related key dates
  • Respond to housing-related inquiries

4. General Administrative Support

  • Provide on-site support for expat staff, including Immigration Office & MOFA visits, and general settlement assistance
  • Process routine vendor payments
  • Support general expat service operations
  • All other tasks assigned by the supervisor

Job Requirements and Qualifications

1. Education Requirements

  • Bachelor’s degree or equivalent

2. Related Field Work Experience

  • 3+ years

3. Technical and Professional Skills / Knowledge

  • Proficiency in MS Office
  • Sound knowledge of HRIS
  • Understanding of Immigrations guidelines
  • Understanding of MOFA process preferred
