INTRODUCTION

The Caribbean Development Bank (CDB) is seeking to recruit Project Assistants in the Operations area. The successful candidates will be based at CDB’s Office located in St. Michael, Barbados.

OPERATIONS

The Operations area is responsible for overseeing the operation of the Bank’s lending and related economic activities. The work of Operations is delivered through the Projects, Economics, and Strategy and Development Effectiveness Departments, the Private Sector Division, and the Infrastructure Partnerships area.

THE ROLE

Reporting to the Division Chiefs, Unit Heads and/or Project Team Leads as appropriate, the Project Assistant provides administrative, coordination, and technical support to the effective implementation, supervision, and monitoring of assigned projects. The role ensures the timely delivery of project activities through accurate documentation, efficient logistics, systematic tracking of deliverables, and compliance with CDB policies and procedures.

KEY RESPONSIBILITIES

The Project Assistant will be required to:

  • Support activities and production of documents related to the preparation and approval of Project Leads and Opportunities assigned to the Division’s pipeline.

  • Review project documentation to ensure quality of final product and accurate application of CDB Guidelines.

  • Support appraisal and supervision missions, including coordination of meetings and mission-related activities, document agreed actions and deliverables arising from mission and stakeholders engagements, and track agreed deliverables.

  • Manage logistical arrangements for project events, workshops, meetings, and mission travel.

  • Prepare meeting materials and basic data visualisations to support project monitoring and reporting.

  • Support the preparation of procurement documents, project briefs, back-to-office reports, and aide-mémoires and track deliverables arising from supervision reports, identifying pending deadlines and communicating accordingly with the project team leaders, the Division Chief and the project team, as needed.

  • Serve as an information support resource for project-related queries.

  • Support project teams in maintaining accurate and up-to-date project documentation within the Bank’s project cycle management system and SharePoint, in accordance with CDB’s records management standards.

  • From time to time, perform additional duties directly related to the administrative, coordination, monitoring, and project support functions of the role. These tasks will complement existing responsibilities (such as document preparation, tracking of timelines, records management, communication support, and logistical coordination).

QUALIFICATIONS AND EXPERIENCE

The successful candidate must have:

  • At minimum, the Certified Professional Secretary or Administrative Professional Secretary Qualification or the equivalent level.
  • At least five (5) years of experience in administrative or project management support in development-related projects.

The following will be considered assets:

  • Hands-on experience in project implementation.
  • Demonstrable knowledge of administrative policies and procedures of multi-lateral development institutions/development institutions.
  • A professional certification in project management, such as the Certified Associate in Project Management (CAPM).

TERMS OF APPOINTMENT

This role is a full-time position with the successful candidate being contracted on a two-year basis in the first instance, with the possibility of renewal. The salary is competitive and commensurate with qualifications and experience. The salary scale for this Grade 15 role starts at USD37,500 per annum net of taxes. The benefits package includes a pension plan, life and medical insurances.
