The Fleet Coordinator is responsible for the day-to-day management and coordination of the organization’s vehicle fleet. This role ensures that vehicles are properly maintained, compliant with applicable regulations, cost-effective, and available to support operational needs. The Fleet Coordinator works closely with drivers, vendors, and internal stakeholders to ensure smooth and efficient fleet operations. 

 

Key Responsibilities 

  • Coordinate daily fleet operations, including vehicle assignment and scheduling  
  • Monitor vehicle maintenance, inspections, repairs, and service intervals  
  • Maintain accurate and up-to-date fleet records, including registration, insurance, maintenance logs, mileage, and fuel usage  
  • Ensure compliance with local, state, SRE, and federal transportation regulations  
  • Coordinate with vendors and service providers for repairs, fuel management, and TAG administration  
  • Track and manage fleet-related costs and support budgeting and cost-reduction initiatives  
  • Investigate vehicle incidents, accidents, and insurance claims, ensuring proper documentation and follow-up  
  • Communicate with drivers regarding vehicle usage, policies, and safety procedures  
  • Support fleet safety programs and ensure driver compliance with internal policies  
  • Assist with procurement, replacement, and disposal of fleet vehicles  

Requirements

  • High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)  
  • 3–5 years of experience in fleet management, logistics, transportation, or a related field  
  • Experience working with vendors and managing operational processes  

Skills and Competencies 

  • Strong organizational and time management skills  
  • Proficiency in Microsoft Office  
  • Basic knowledge of vehicle maintenance and mechanical concepts  
  • Familiarity with transportation  
  • Excellent communication and interpersonal skills  
  • Strong problem-solving and analytical abilities
