The Uganda Country Team is part of the Africa (CAF) Department at IFC. Our unit drives private sector development in Uganda to end extreme poverty and boost shared prosperity. IFC is seeking ET Temporary (Team Assistant), based in Kampala, Uganda, to provide high-quality administrative and operational support to the CAEUG team and visiting missions. This role is pivotal in fostering collaboration, enhancing efficiency, and contributing to IFC’s mission of driving private sector development and economic growth in the region. 

Role and Responsibility 

• Provide high-quality administrative support to the team, including scheduling and coordinating meetings, managing calendars, and organizing travel arrangements in compliance with IFC policies.
• Prepare, edit, and format documents, presentations, and correspondence, ensuring accuracy, consistency, and adherence to IFC standards, using artificial intelligence (AI) tools as appropriate.
• Maintain and update team records, databases, and filing systems, ensuring data integrity and accessibility for reporting and operational needs.
• Act as the first point of contact for internal and external inquiries, demonstrating professionalism and ensuring timely and accurate responses.
• Support the preparation and coordination of events, workshops, and conferences, including logistics, materials, and participant communication.
• Monitor and manage office supplies and resources, ensuring availability and cost-effectiveness while adhering to procurement guidelines.
• Assist in processing expense reports, invoices, and other financial transactions, ensuring compliance with IFC financial procedures and timelines.
• Collaborate with team members to streamline administrative processes, identify areas for improvement, and implement solutions to enhance efficiency.
• Ensure adherence to IFC confidentiality and data protection standards in handling sensitive information and documents.
• Foster a positive and inclusive work environment by supporting team collaboration, promoting IFC values, and contributing to a culture of excellence and accountability.

Selection Criteria

Preference will be given to local talent, that is, applicants that are authorized to work in the duty station for any employer. Internal applicants may apply per existing guidelines.
 
• A Bachelor degree.
• A minimum of five years of professional experience in administrative support, office management, or a related field, preferably in an international or multicultural environment.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software tools, with the ability to quickly learn new systems and technologies and leveraging AI tools.
• Strong organizational and time management skills, with the ability to prioritize tasks, manage multiple assignments, and meet deadlines in a fast-paced environment.
• Excellent written and verbal communication skills in English, with the ability to draft, proofread, and edit documents and correspondence accurately and professionally.
• Demonstrated ability to work collaboratively in a team-oriented environment, fostering positive relationships with colleagues, clients, and stakeholders from diverse backgrounds.
• High level of attention to detail and accuracy, with a proactive approach to problem-solving and a commitment to delivering high-quality work.
• Strong interpersonal skills, including tact, discretion, and the ability to handle sensitive and confidential information with integrity.
• Flexibility and adaptability to changing priorities and work demands, with a willingness to take initiative and contribute to team objectives.
