BACKGROUND
IUCN, represented by its Bangladesh Country Office, is implementing projects with support from various donors. To ensure the smooth operation of these projects, IUCN requires a Administration Associate under CRIS project.
JOB DESCRIPTION
MAJOR RESPONSIBILITIES
Under the direct supervision of the Finance & Administration Manager, and the functional supervision of Senior Programme Officer, Wildlife Conservation Administration Associate under CRIS project will be responsible for assisting in implementing the project activities and project development, especially in the light of the Partnership Agreement between donor and IUCN.

SPECIFIC DUTIES
Under the overall guidance of the Finance & Administration Manager of IUCN Bangladesh, Administration Associate under CRIS project will undertake following specific responsibilities:
1. General Administration
• To ensure that the filing and record-keeping system for administration is efficient and that all important documents and correspondence are well organized.
• To ensure that office cleaning, equipment maintenance, computer networking, and utility bills are properly updated, monitored, and recorded.
• To ensure that annual insurance coverage for staff is completed within the stipulated timeline and that general insurance for office assets is updated on a yearly basis.
• To ensure that office vehicles are properly maintained, with updated logbooks, regular servicing, valid registration, and annual insurance coverage.
• To ensure that all events, workshops, meetings, seminars, and conferences are organized and conducted efficiently.

2. Procurement
• To complete all procurement of goods and services for IUCN Bangladesh and ensure that all procurement processes are followed in compliance with policies and properly documented.
• To arrange air tickets, accommodation, rent-a-car services, workshop venues, visa processing (including travel insurance), etc., from listed vendors, ensuring that approved requisitions are in place and that best value for money is achieved during the procurement of services.
• To verify all bills and invoices from suppliers against relevant supporting documents and submit them to Finance for the payment process.

3. Inventory and Assets Management
• To ensure that all inventory items, including stationery, are properly recorded and documented in the stock register. The storeroom must remain under lock and key at all times.
• To ensure that all IUCN assets are fully insured and updated on a regular basis. The asset list shall be maintained and updated in line with IUCN policy, ensuring that all information is properly recorded and documented at all stages, including disposal. Physical verification of assets shall be conducted and recorded on an annual basis.

4. Administration process in Project Office - Khulna
• To ensure that all administrative procedures at the Khulna Project Office are fully compliant with IUCN policies and procedures.
• To conduct frequent field visits to the project office and project sites.

5. Others
• Any other specific responsibilities may be assigned from time to time by the Finance & Administration Manager, the Senior Programme Officer, Wildlife Conservation or the Country Representative of IUCN Bangladesh.
REQUIREMENTS
• Education
-Master’s degree in Management, Business Administration (MBA with major in Management), Public Administration, or a related discipline from a recognised and reputed university.
-Bachelor’s degree in Management, Business Administration, Public Administration, or a related field may be accepted in lieu of a Master’s degree, provided it is supplemented by at least two (02) additional years of relevant professional experience.
-Partly qualified or fully qualified professional certifications related to administration, finance, or management (e.g. CA, CMA, ACCA, or equivalent) will be considered an added advantage.

• Training and Experience
-Minimum 4–6 years of relevant professional experience in administration, operations, or support services, preferably within international and/or national NGOs, development organizations, or donor-funded projects.
-Sound working knowledge of administration, procurement processes, asset and inventory management, and logistical support, in compliance with organizational policies and donor requirements.
-Demonstrated practical experience in the use of computerized administrative and financial systems, particularly ERP-based software.
-Strong computer literacy, with proficiency in MS Word, MS Excel, and MS PowerPoint; familiarity with database, asset, or inventory management systems will be an advantage.
-Experience supporting administrative documentation, reporting, and record-keeping, ensuring accuracy and compliance with internal controls.

-Strong interpersonal, oral, and written communication skills, with the ability to interact effectively with diverse stakeholders.
-Good time management, task prioritization, and multitasking skills, with attention to detail.
-Ability to work independently with minimal supervision, as well as collaboratively within teams, as and when required.
-Demonstrated ability to function as a team player with strong work ethics and a cooperative mindset.
-Sound decision-making and problem-solving skills, particularly in dynamic project environments

• Language Skills
-Excellent English language skills (oral and written) and Bangla
