Title of Assignment: Consultant (Conference Team Operations Coordinator)

Expected duration of assignment: March 8 to July 31, 2026

1. Objective of the assignment 
The Consultant’s main duty, during the period of the assignment, will be to provide day-to-day support to the Diplomatic Engagement and Assemblies Affairs Division in the organization of key meetings such as the Assemblies of the Member States of WIPO.

The Conference Focal Point is responsible for the organization of all WIPO meeting activities by ensuring the highest degree of planning and coordination efficiency.

The incumbent organizes and monitors the work of the WIPO Conference Team and liaises closely with officials throughout the Organization to advise on conference-related procedures

2. Deliverables/services
The Consultant will perform the following principal duties: 

(i) the Consultant shall primarily participate in the preparations and in-session servicing of WIPO meetings and conferences taking place between March and August 2026, including the WIPO Assemblies; 

(ii) establish and maintain strong and effective work relationships with WIPO internal and external stakeholders; provides advice and guidance on their specific needs;

(iii) plan and identify requirements for arrangements relating to the organization of meetings and of events held on WIPO premises;

(iv) ensure the provision of the necessary services required for the WIPO meetings and conferences, including related events and side events; ensure that a high level of service is provided and propose action to address problems or shortfalls; 

(v) respond to queries on rental, organization of meetings and of events, and general information requests;

(vi) organize and monitor the conference team's work;

(vii) perform other related duties, as and when required.

3. Reporting  
The Consultant will work under the supervision and report directly to the Senior Counsellor of the Division.

4. Profile (e.g. area of specialization/expertise, specific knowledge/skills/experience) 
At least one year of relevant professional experience in an international environment and in the organization of international events.

- Excellent knowledge of written and spoken English.

- Excellent communication and interpersonal skills and ability to maintain effective partnerships and working relations in a multicultural environment, with sensitivity and respect for diversity.  

- Ability to maintain a high level of confidentiality and discretion.

- Excellent organizational skills, with the ability to work within strict time constraints and to meet deadlines.

- Ability to quickly adapt to changing environments, tasks and demands.

- Excellent analytical and problem-solving skills.

- Good numerical and data analysis skills.

- Competent user of databases and office software including Word, Excel, Outlook and PowerPoint; ability to work with and rapidly adapt to new software.

- Knowledge of conference management-related systems and technologies.

5. Duration of contract and payment 
The duration of the contract shall be from March 8, 2026, to July 31, 2026, inclusive (full-time, 100%).  An extension for 1 or 2 months may be granted depending on performance, business needs and budget availability.

Applicants are requested to provide an indication of their remuneration expectations of a daily rate in Swiss francs.

Payment will be made on a monthly basis, subject to submission of invoices by the Consultant, satisfactory completion of services and deliverables.

6. Other information 
ICS Consultants fall outside the coverage of employment contracts for WIPO Staff members and are not subject to the WIPO Staff Regulations and Rules. The Consultant has no entitlement to vacation or sick leave, except for WIPO official holidays, or to medical insurance or staff pension. Absences from work will be deducted from the Consultant’s payment on a pro-rated basis.
