Organizational Setting and Reporting Relationship
The position of Operations Assistant is assigned in the Nepal Resident Mission (NRM) within the South Asia Department (SARD). You will be based at the Nepal Resident Mission (NRM) office in Kathmandu, Nepal.
You will report to the designated international staff and officer (senior/principal/lead, as applicable)
Your Role
The Operations Assistant will perform administrative tasks for NRM, including managing records, preparing correspondence and reports, helping visit ADB missions and other appropriate functions.
You will:
- Ensure that all correspondence and documents are correctly typed, printed out and submitted on time in compliance with ADB standard.
- Ensure that all incoming faxes and mail are logged, distributed and brought to the attention of concerned staff, and that mails/faxes are delivered and dispatched.
- Provide efficient reception services such as screening incoming telephone calls, taking accurate messages, dealing with queries from internal/external calls and ensuring that these are referred promptly to concerned staff.
- Ensure that office filing system and records are maintained and updated following existing framework for easy retrieval.
- Help retrieve files and documents for preparation of reports.
- Ensure that publication articles selected by NRM officers are copied and shared to concerned staff.
- Undertake photocopying and printing tasks.
- Provide logistical assistance to ADB missions.
- Support logistic and administrative arrangements related to setting up workshops, seminars and conferences organized by the NRM/HQ.
- Perform other responsibilities reflected in the workplan.
Qualifications
You will need:
- Bachelor's degree in business administration or in any other fields.
- At least 5 years of relevant work experience; related experience in international agencies will be preferred.
- Understanding of international agencies' operational processes.
- Experience liaising and working with staff within own work location and throughout ADB.
- Experience working collaboratively with teams as a constructive team member.
- Experience establishing and maintaining productive contacts with appropriate officials of host government, donor agencies and executing agencies and others.
- Experience working with individuals from different cultural/national backgrounds.
- Written and verbal proficiency in English and local language

Additional Information
This appointment is open to internal and external applicants.
This opening is a local staff position. It is open only to nationals and permanent residents of Nepal.
This is a fixed term appointment with option to renew, initially for a period of up to 3 years, or up to the Normal Retirement Date (NRD), whichever comes earlier, for the purpose(s) and conditions determined by ADB, in accordance with Administrative Order No. 2.01 (Recruitment and Appointment). After the initial fixed-term period, ADB may choose to renew the appointment for up to an additional 3 years or not renewed. This decision will be made in the overall interest of ADB, based on factors including but not limited to the requirement of Staff's particular blend of skills and experience for the medium-term work program of the organizational unit, sufficient funding to cover the renewed period, and Staff's performance and suitability for employment. There is no limit to the number of renewals up to NRD. However, this appointment is not convertible to a regular appointment.
