Job Description

1.     Organizational Context

 

a.    Organizational Setting

The position is located in the Diplomatic Engagement and Assemblies Affairs Division, Sector of the Director General. The Division is responsible for all engagements with the diplomatic community in Geneva through various avenues such as events generally speaking, but more precisely National Day events, including side events during key meetings such as the WIPO General Assemblies.

 

b.    Purpose Statement

As part of the Events team, the incumbent provides day to day support for the effective and efficient organization of events and coordinates with internal and external stakeholders for the efficient implementation of events.

 

c.    Reporting Lines

The incumbent works under the supervision of, and reports directly to the Event Producer.

 

2.      Duties and Responsibilities

 

The incumbent will perform the following principal duties:

 

a.   Under the supervision of the Event Producer, follow up with representatives of WIPO stakeholders (Member States, NGOs and IGOs) and assist with arrangements relating to the organization of regular events on WIPO premises including National Days celebrations, WIPO General Assemblies events and Committees, prepare invitations, review technical requirements for cultural events with suppliers, and manage the setting up and dismantling of exhibitions according to the plan prepared by the Event Producer and/or the Protocol and Event Planner.

 

b.   Checking on equipment to ensure it is properly maintained and renovated as needed.

 

c.   Monitor, ensure proper functioning, and handle the sound system as needed.

 

d.   Set-up public spaces according to logistical needs in terms of equipment and furniture.

 

e.   Oversee the Events generic mailbox.

 

f.    Assist in Protocol matters, reporting to the respective supervisors, when and if necessary.

 

g.   Perform other related activities when required.

 

3.      Requirements

 

Education (Essential)

Completed secondary education.

 

Experience (Essential)

At least three years of experience in event support, administrative and general office support work in hospitality or an event management context.

 

Language (Essential)

Excellent knowledge of written and spoken French and good knowledge of English.

 

Job Related Competencies (Essential)

Ability to work under pressure and to meet deadlines and to effectively coordinate event-related catering activities associated with large-scale official events.

Excellent interpersonal skills and ability to maintain effective partnerships and working relations in a multicultural environment with sensitivity and respect for diversity.

Ability to maintain a high level of confidentiality and discretion.

Competent user of Microsoft Office applications (Word, Excel, Outlook, PowerPoint) and the Internet.

5.      Information

 

Monthly salary (Net of tax):  6,043 CHF

Additional Information

General Service posts are subject to local recruitment.  Staff in the General Service category are recruited in the host country or within reasonable commuting distance of the Headquarters.

Temporary appointments are renewable, subject to continuing needs, availability of budget and satisfactory performance with a maximum cumulative length of two years.
