Officer - Administration

ICRISAT seeks applications from dynamic Indian nationals as Officer– Administration under New Delhi Office of Country Relations & Business Affairs (India). We are seeking an energetic and results-driven professional, who will serve as the key liaison between our organization and external stakeholders, including clients, partners, and regulatory bodies. The incumbent will assist in partnership development, donor engagement, and resource mobilization efforts. Additionally, the role encompasses operational oversight of the Delhi office, including finance, administration, and front office management. This position will be based in New Delhi, India.

ICRISAT is a non-profit, non-political organization that conducts agricultural research for development in Asia and sub-Saharan Africa with a wide array of partners throughout the world. Covering 6.5 million square kilometres of land in 55 countries, the semi- arid or dryland tropics has over 2 billion people and 644 million of these are the poorest of the poor. ICRISAT and its partners help empower these disadvantaged populations to overcome poverty, hunger and a degraded environment through better agricultural production systems.

ICRISAT is headquartered at Patancheru near Hyderabad, India, with two regional hubs and eight country offices in sub-Saharan Africa. ICRISAT envisions a prosperous, food-secure and resilient dryland tropics. Its mission is to reduce poverty, hunger, malnutrition and environmental degradation in the dryland tropics. ICRISAT conducts research on its mandate crops of chickpea, pigeon pea, groundnut, sorghum, pearl millet and finger millet in the arid and semi-arid tropics. The Institute focuses its work on the drylands and in protecting the environment. Tropical dryland areas are usually seen as resource-poor and perennially beset by shocks such as drought, thereby trapping dryland communities in poverty and hunger and making them dependent on external aid. Key Responsibilities:

Partnerships & Donor Management

  • Serve as the liaison between the organization and external stakeholders, including donors, partners, and clients, ensuring effective communication and relationship management.

  • Support in identification of opportunities and partnership engagements to build and sustain strategic collaborations.

  • Establish reliable network association with stakeholders, donors and partners by understanding their expectations, priorities, and areas of interest, ensuring continued engagement and support.

  • Coordinate to mobilize resources from institutional donors, CSR, and philanthropic foundations.

  • Manage donor engagement initiatives and campaigns.

 Financial Management

  • Prepare financial statements for day-to-day expenses and maintain financial records in compliance with institutional policies.

  • Ensure appropriate approvals for timely payments to vendors/suppliers.

  • Handle all bank-related tasks and maintain the cash book for the ICRISAT Delhi office.

  • Ensure month-end checklists are completed, books are closed on time, and reports are submitted to headquarters.

Office, Asset & Visitor Management

  • Oversee the management of fixed assets, including maintaining accurate asset and transfer registers, ensuring proper upkeep, and preparing timely reports for internal and external stakeholders.

  • Coordinate and supervise housekeeping services, office supplies, repairs and maintenance activities, and inventory management for stationery and pantry items to ensure operational efficiency.

  • Organize and manage logistical arrangements for staff and official visitors, ensuring cost-effectiveness and adherence to organizational standards.

  • Monitor and review monthly vehicle logbooks to ensure accurate documentation, optimal utilization, and compliance with organizational protocols.

  • Oversee the efficient management of front office operations, providing appropriate guidance and support to visitors, vendors, clients, and candidates.

  • Facilitate effective cross-functional collaboration to ensure alignment with client and partner expectations, promoting seamless communication and coordination across departments.

  • Undertake any additional responsibilities as assigned by the supervisor, contributing to the overall operational effectiveness of the organization.

Qualifications and Skillsets:

  • Master’s degree in commerce or business administration from a recognized institution.

  • Minimum 5 years of work experience in Office administration / Resource Mobilization.

  • Expertise with MS Office Suite, including Word, Excel, AI platforms and PowerPoint.

  • Proficiency in written and spoken English.

  • Quick learner with adaptability to changing demands.

  • Strong competencies in customer orientation, communication, teamwork, and achievement orientation.

 General:

This is a contractual role for a period of 36 months (3 years), renewable based on the performance of the incumbent, budget availability and the institute’s continuing need for the position.
