Org. Setting and Reporting
This position is located in the Office of the High Commissioner for Human Rights (OHCHR) in Mexico City, Mexico. The incumbent reports to the Administrative Unit Coordinator.

Responsibilities
Within limits of delegated authority, the Team Assistant may be responsible for the following duties: • Performs a wide range of office support and administrative functions. • Responds or drafts responses to routine correspondence and other communications; uses standard word processing package to produce a wide variety of large, complex documents and reports. • Monitors processes and schedules related the unit’s outputs, products, tasks, etc.; where applicable, assists in the verification of receipt and accuracy of requisite documents, approvals, signatures, etc. to ensure compliance with relevant legal, financial and other requirements. • Researches, compiles and organizes information and reference materials from various sources for reports, work plans, studies, briefings, meetings/conferences, etc. • Generates a variety of standard statistical and other reports, work orders, etc., using various databases. • Proofreads documents and edits texts for accuracy, grammar, punctuation and style, and for adherence to established standards for format. • Screens phone calls and visitors; responds to moderately complex information requests and inquiries (e.g. answers requests requiring file search, etc.), and as necessary, refers inquiries to appropriate personnel for handling. • Provides secretarial, administrative and logistics support to meetings, boards, committees, conferences, etc. • Assists in the preparation of presentation materials using appropriate technology/software. • Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit. • Performs data entry and extraction functions. • Reviews, records, distributes and/or processes mail and other documents; follows-up on impending actions. • Updates and maintains large distribution lists; monitors, prepares and distributes various materials, reports, where possible using electronic formats; handles arrangement for printing and translation as necessary; coordinates shipment arrangements, courier services, etc. • Performs general administrative tasks (e.g. arrangements for meetings and other events, reservations, budget follow-up, etc.), to include preparing and/or processing administrative requests/documents (e.g. requisitions, purchase orders, travel requests, contracts, expenditure authorizations, visa applications, etc.). • Maintains files (both paper and electronic) and databases for work unit. • Assists in providing office equipment support. • Provides guidance to less experienced staff on general office processes and procedures, etc. • Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. • Performs other duties as assigned.
Dentro de los límites de la autoridad delegada, el Auxiliar de Equipo puede ser responsable de las siguientes funciones: • Realiza una amplia gama de funciones administrativas y de apoyo de oficina. • Redacta correspondencia ordinaria y otras comunicaciones o responde a ellas; utiliza un paquete estándar de procesamiento de textos para elaborar una amplia variedad de documentos e informes complejos y de gran tamaño. • Hace un seguimiento de los procesos y calendarios relacionados con los resultados, productos, tareas, etc., de la dependencia; cuando proceda, ayuda a verificar la recepción y exactitud de los documentos, aprobaciones, firmas, etc., necesarios para garantizar el cumplimiento de los requisitos legales, financieros y de otro tipo pertinentes. • Busca, recopila y organiza información y material de referencia de diversas fuentes para informes, planes de trabajo, estudios, sesiones informativas, reuniones/conferencias, etc. • Genera diversos informes estadísticos estándar y de otro tipo, órdenes de trabajo, etc., utilizando diversas bases de datos. • Corrige documentos y edita textos para comprobar su exactitud, gramática, puntuación y estilo, así como el cumplimiento de las normas de formato establecidas. • Controla las llamadas telefónicas y las visitas; responde a solicitudes de información y consultas moderadamente complejas (por ejemplo, responde a solicitudes que requieran la búsqueda en archivos, etc.) y, en caso necesario, remite las consultas al personal adecuado para su tramitación. • Presta apoyo de secretaría, administrativo y logístico a reuniones, juntas, comités, conferencias, etc. • Ayuda en la preparación de materiales de presentación utilizando la tecnología y los programas informáticos adecuados. • Mantiene el calendario y los cronogramas; hace un seguimiento de los cambios y comunica la información pertinente al personal adecuado dentro y fuera de la unidad de trabajo inmediata. • Realiza funciones de introducción y extracción de datos. • Revisa, registra, distribuye y/o procesa el correo y otros documentos; da seguimiento a las acciones inminentes. • Actualiza y mantiene grandes listas de distribución; supervisa, prepara y distribuye diversos materiales e informes, en la medida de lo posible utilizando formatos electrónicos; se encarga de organizar la impresión y la traducción en caso necesario; coordina los preparativos de envío, los servicios de mensajería, etc. • Realiza tareas administrativas generales (por ejemplo, organización de reuniones y otros actos, reservas, seguimiento del presupuesto, etc.), incluida la preparación y/o tramitación de solicitudes/documentos administrativos (por ejemplo, pedidos, órdenes de compra, solicitudes de viaje, contratos, autorizaciones de gastos, solicitudes de visado, etc.). • Mantiene archivos (tanto en papel como electrónicos) y bases de datos para la unidad de trabajo. • Ayuda en el suministro de equipos de oficina. • Orienta al personal menos experimentado sobre los procesos y procedimientos generales de la oficina, etc. • Asiste en la recopilación y el análisis de datos, así como en la preparación de presentaciones de datos e informes para dar a conocer información, responder a consultas, gestionar conocimientos, planificar y tomar decisiones. • Realiza otras tareas que se le asignen.

Work Experience
