Org. Setting and Reporting
This position is located in the United Nations Stabilization Mission in the Democratic Republic of Congo (MONUSCO). The Team Assistant will be based in Kinshasa and will be under the direct supervision of the Chief of Radio Okapi.
Responsibilities
Within delegated authority, the Team Assistant will perform the following duties: • Provides general office support services to help ensure the smooth functioning of Radio Okapi and requests, including drafting routine written responses or routes to appropriate personnel. • Assist the Radio Okapi chief in preparing resource needs for budget submissions; help establish project budgets; travel/mission plans, etc. • Coordinate with the Administrative Unit of the Strategic Communication and Public Information Division (SCPID), the MONUSCO administration, and other mission entities. • Coordinate with UNOPS for administrative matters related to the contracts of Consultants and UN staff for Radio Okapi, their integration process, travel, recruitment, etc. • Assist in initiating, examining, processing, and monitoring actions related to the administration of Radio Okapi's human resources activities, personnel recruitment, promotion, relocation, performance evaluation, and cessation of service. • Performs a wide range of office support and administrative functions. Responds or drafts responses to routine correspondence and other communications; uses standard software document processing packages to produce a wide variety of large, complex documents and reports. • Update and maintain large distribution lists; compile documents, reports, and other materials for wide dissemination, preferably in electronic format; coordinate mail services. • Performing other related administrative tasks as needed (e.g. recording staff attendance and leave, allocating physical space, ordering office supplies and equipment, etc.); including preparing and/or processing administrative requests/documents (e.g. travel requests, expense reimbursement requests, supporting documents, visa applications, etc.). • Maintains calendar/schedules; monitors the change and communicates relevant information to appropriate staff inside and outside the immediate work unit. • Performs any other tasks that are required.

Education
High school diploma or equivalent is required.
Job - Specific Qualification
Course work/training in human resources management are desirable. Knowledge of MS Excel and database software is desirable.
Work Experience
A minimum of three (3) years of experience in administrative services, finance, accounting, audit, human resources or a related field is required.
Languages
English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in oral and written French is required. Knowledge of English is desirable.
