Organizational Setting and Reporting Relationship

The position of Senior Operations Assistant is assigned to the Pakistan Resident Mission (PRM) within the Central West Asia Department (CWRD). You will be based at the Resident Mission in Islamabad, Pakistan.

You will report to the Country Director or the designated international staff.

Your Role

As a Senior Operations Assistant, you will perform a full range of administrative responsibilities for the Country Director and International Staff to support PRM activities and operations. You will provide support in office operations and some project administration and portfolio management activities, and will perform a full range of administrative requirements, including standard activities as may be directed by the supervisor.

You will:

  • Ensure that all correspondence, documents, and reports (e.g., aide memoirs, powerpoint presentations, background papers, back-to-office reports) are correctly typed, prepared and submitted on time in compliance with ADB's standards.
  • Review documents for sensitive information before submission to management for approval.
  • Provide support in preparation of the briefing document, meeting summaries for high-level visits
  • Manage incoming and outgoing communications, including logging and delivering correspondence, translating documents, and interpreting during meetings with government officials.
  • Maintain and update office filing systems (both electronic and paper) and data bases for easy retrieval.
  • Manage supervisors' schedules including maintaining diaries, arranging appointments, meetings, meetings, travel and accommodations per ADB procedures. Prepare and keep record of meeting minutes.
  • Arrange missions and travel through the Concur System and coordinate logistics for transportation, workshops, seminars, and related activities.
  • Maintain liaison with government authorities, development partners and ADB HQ to support and facilitate operations and coordination.
  • Provide reception services by screening phone calls, taking messages, handling queries, and referring matters promptly to concerned staff.
  • Organize and manage internal and external events, conferences, workshops, and other related activities.
  • Ensure intra-office communications, including sharing of guiding information, both from within PRM and from HQ.
  • Coordinate to file the request for year-end materials for Country Director.
  • Support tasks related to country programing, portfolio review, project processing and implementation for the assigned sector/unit.
  • Assist other Operations Assistant and provide coverage in their absence.
  • Perform any other tasks as may be required from time to time.

Qualifications

You will need:

  • Bachelor's degree in finance, accounting, business administration, or other relevant field.
  • At least 5 years of relevant work experience; preferably with related experience in international agencies.
  • Proficiency in relevant IT applications and videoconferencing tools.
  • Excellent administrative skills; ability to handle numerous responsibilities simultaneously.
  • Familiarity with building and maintaining productive relationships with host government officials and other partners.
  • Skill in working with people from diverse cultural and national backgrounds, adapting to different work styles, and encouraging collaboration.
  • Presentation and communication skills in English and Urdu.

Additional Information

This appointment is open to internal and external applicants.

This opening is a local staff position. It is open only to nationals and permanent residents of Pakistan.

This is a fixed term appointment with option to renew, initially for a period of up to 3 years, or up to the Normal Retirement Date (NRD), whichever comes earlier, for the purpose(s) and conditions determined by ADB, in accordance with Administrative Order No. 2.01 (Recruitment and Appointment). After the initial fixed-term period, ADB may choose to renew the appointment for up to an additional 3 years or not renewed. This decision will be made in the overall interest of ADB, based on factors including but not limited to the requirement of Staff's particular blend of skills and experience for the medium-term work program of the organizational unit, sufficient funding to cover the renewed period, and Staff's performance and suitability for employment. There is no limit to the number of renewals up to NRD. However, this appointment is not convertible to a regular appointment.
