Job Description

Introduction:

You will join the CERN Staff Association (SA) Secretariat, which gives support to the SA elected delegates, and provides information to all members of the personnel.

You will also play an active role promoting activities sponsored by the SA, such as SA clubs, the Nursery & School of the SA, and the CERN and ESO Pensioners Association.

You will report directly to the Presidency of the SA and work with the SA elected delegates in a team of professionals dedicated to providing CERN-wide support for all SA activities and projects.

Functions:

  • Ensure the continued smooth operation of the Secretariat: welcoming visitors, answering phone calls, managing the CERN Staff Association (SA) mailbox.
  • Production of the SA biweekly newsletter and update & development of the SA website.
  • Help and give guidance to all members of personnel and SA representatives concerning working relations, employment conditions, disciplinary or appeals procedures, any rules and regulations.
  • Translate various documents such as articles from French into English and vice-versa.
  • Write minutes of meetings.
  • Organise SA events (meetings with representatives of CERN Member States, public meetings, General Assembly meetings, exhibitions, conferences, etc.).
  • Present the SA activities in various meetings.

Qualifications

Technical certificate or general secondary education or equivalent relevant experience in the field of Administration, Communication, International Relations or a related field.

Experience:

  • Proven experience of administrative work in a team in an international environment.
  • Experience relating to publication matters or community management is an advantage.
  • Experience in organising small to large events is an advantage.

Technical competencies:

  • Customer service.
  • Event organisation and management.
  • Knowledge of administrative rules and procedures.
  • Secretarial work: including minute-writing.
  • Use of office software packages.
  • Drafting and translating articles, presentations and official documents.

Behavioural competencies:

  • Achieving Results: delivering high quality work on time and fulfilling expectations.
  • Demonstrating Accountability: working conscientiously and reliably; delivering on promises.
  • Working in Teams: building and maintaining constructive and effective work relationships.
  • Building Relationships: being able to put self in the shoes of others in order to understand their needs and interests.

Language skills:

Spoken and written both English and French.
