Unit Context:

 The World Bank Country Office in Mozambique is seeking a highly organized and energized professional, capable of operating effectively and discreetly in a very demanding, fast-paced and culturally diverse environment, to work as a Team Assistant with the Mozambique Country Office.
The successful candidate will work under the leadership of the Operations Manager, with the day-to-day supervision of the relevant Senior Program Assistant and the respective Cluster Leader(s) who provide supervision and guidance to the ACS (Administrative Client Support) staff. The selected candidate will provide administrative and client support to Operational Staff working in various sectors, coordinated by the Task Team Leader. The job implies frequent interaction with other institutional units, staff in other locations (locally and internationally), Government officials, consultants, and external organizations.

Duties and accountabilities:

The Team Assistant will provide administrative support to the unit, including but not limited to the following: 

• Draft and format routine correspondence (e.g., letters, memos) in line with institutional and regional standards, ensuring accuracy and quality.

• Provide core support in the implementation of the unit's work program, including some specialized assistance in areas such as task management, procurement, database management, information technology, and editorial assistance. 

• Perform basic analytical and reporting tasks as requested by TTLs.

• Format, edit, and quality-check large and complex documents to ensure compliance with VPU and institutional guidelines. 

• Collect, enter, track, and maintain project and operational data in relevant systems, including project status reporting.
 
• Track and report on key aspects of the team’s operational activities. 

• Attend meetings, prepare minutes, and ensure timely clearance and distribution. 

• Coordinate closely with CMU colleagues in Maputo, Madagascar, Comoros, Seychelles, and Washington. 

• Prepare documents, reports, tables, figures, graphs and presentations using standard Bank formats and tools. 

• Support logistical planning and coordination for missions, high level visits, conferences, workshops, and other events. 

• Respond to internal and external inquiries and route requests to appropriate staff as needed. 

• Maintain accurate distribution lists, contact databases, project and administrative files, and distribute documents to relevant task teams.

• Serve as back up to other Team/Program Assistants and provide support across the unit as required.

Selection Criteria

Attention : Preference will be given to local talent, that is, applicants that are authorized to work in the duty station for any employer. Internal applicants may apply per existing guidelines.

• Preferably a Diploma in Secretarial Studies or Office Management or Business Administration. University Degree will be an advantage.

• At least three (3) years of relevant experience in a similar role, preferably within a large international, service oriented, or private sector organization. 

• Strong proficiency in standard office and Bank applications (computers, photocopy, fax machine, Microsoft applications), with the ability to quickly adapt to new and evolving systems.
 
• Knowledge of standard office equipment and basic file and records management systems. 

• Excellent command of English (written and spoken), with the ability to draft and edit routine correspondence and documents accurately, using proper grammar, punctuations, and style.

• Committed team player, with strong interpersonal skills and demonstrated ability to work effectively in a multicultural team environment. 

• Willingness to learn, seek guidance from more experienced staff when needed, and continuously improve skills. 

• Ability to manage multiple tasks, meet deadlines, and deliver high quality work under pressure. 

• Strong organizational and time management skills, with the ability to follow through on priorities and respond independently in the absence of the team leader. 

• Ability to meet Bank Group recruitment requirements, including passing relevant tests, as applicable.
