Background:

The Surging Women’s Employment Flagship Initiative (SWEI) in the Green, STEM, and Care Economies seeks to increase women’s employment in the Arab States region by 5% by 2030 through innovative and collaborative approaches across governments, international financial institutions, the private sector, UN agencies, NGOs, and media. 

This role provides essential administrative and operational support to the implementation of the SWEI initiative.

Reporting to the Director, Surging Women’s Employment in the Green, STEM, and Care Economy, the Administrative Assistant will provide essential programme, financial, and operational support to the SWEI initiative 

The role provides administrative, financial, and operational support to ensure the effective functioning of SWEI team and delivery of programme activities. The position assists with travel, procurement, and contract administration, and provides logistical support for meetings, workshops, and events, including calendar coordination and scheduling.

Scope of Work:

Provide administrative and logistical support for the formulation and management of programmes 

  • Provide administrative support in the preparation of programme work plans, and proposals on programme implementation arrangements;
  • Provide administrative support to the executing partners/responsible parties on routine delivery and reporting of programme supported activities and finances;
  • Provide administrative support for the audit of programmes/projects and support implementation of audit recommendations; and 
  • Identify sources and gather and compile data and information for the preparation of documents, guidelines, speeches and position papers, in collaboration with the Programme team.

Provide administrative support to the Programme Unit:

  • Manage the meetings of Director of SWEI, including organization of meetings, agenda setting, and preparation of background notes and talking points;
  • Undertaking logistical, administrative and financial arrangements for organization for meetings, workshops, events, and missions including calendar coordination and scheduling;
  • Make travel arrangements for the Programme Team, including travel requisitions and claims;
  • Draft minutes in meetings, as delegated;
  • Organize and coordinate filing of documents; maintain mailing lists.

Provide administrative support to resource mobilization:

  • Organize, compile, and process documentation and information from donors, and programme team as inputs to various databases and documents.

Facilitation of knowledge building and knowledge sharing:

  • Provide administrative support to the organization of training for the office personnel and partners on programme and operations related issues. 

The incumbent performs other duties within their functional profile as deemed necessary for the efficient functioning of the Office and the Organization.

Functional Competencies:

Required Qualifications:

Education and Certification

  • Completion of secondary education is required;
  • Bachelor’s degree in business or public administration is desirable. 

Experience

  • At least 5 years of progressively responsible experience in administrative or programme management/support is required;
  • Experience in working in a computer environment using multiple office software packages is required;
  • Experience in the use of ERP systems, preferably Oracle Cloud, is desirable;
  • Experience in supporting a team is desirable.

Languages

  • Fluency in Arabic and English is required;
  • Knowledge of another official UN language is desirable (French).
