The Europeana Foundation is an independent, non-profit organisation that, as part of the Europeana Initiative, stewards the common European data space for cultural heritage. We share and promote Europe's digital cultural heritage to be used and enjoyed by everyone for learning, for work, or just for fun.

Our range of projects and partnerships creates positive change in and around the cultural heritage sector through new shared services, models and frameworks that contribute to the digital transformation and sustainability of our diverse sector. We promote the use of digital technology that makes cultural heritage online accessible, traceable and trustworthy, which in turn means people can explore it, use it and learn from it with confidence.
How we work
With staff based in five countries, our international team operates in a hybrid working culture. Our team based in the Netherlands has the flexibility to come to work at our office or to work remotely. Our main office is based in the National Library of the Netherlands, next to The Hague Central Station. Our teams based abroad work fully remotely and participate occasionally in meetings and events in The Hague office.
About the team
The Community & Partner Engagement team designs and delivers engaging and inclusive knowledge transfer activities to support professionals getting the most of the European Data Space for Cultural Heritage. The team manages events, training, policies and frameworks, working with a broad range of stakeholders from Europeana Foundation leagues, Network Members and Project Partners.
To support the team during a period of leave, we are offering a fixed-term contract for five months, starting in April, with the exact date to be confirmed.
The role
The Events Coordinator contributes to the management and delivery of Europeana's event programming, with a focus on our online events, and supports the maintenance and development of our network membership. Working together with both the Senior Events Manager and Network & Policy Officer, as well as members of the Community & Partner Engagement Team, this role develops events that deliver opportunities for professionals and stakeholders to share or gather knowledge, engaging and participating in activities that facilitate the digital transformation within the cultural heritage sector.
During the contact period, a special focus will be put on supporting the development of CRM functionalities to improve our ability to gather data-driven insights and bring those into delivering better activities that engage our audiences.
Key responsibilities:
Establish event requirements, manage the pre-event communication & coordination
Maintain, provide, and support real-time hosting
Implement processes that facilitate the publication of good-quality recordings of online events
Manage and develop post-event activities
Coordinate the development of a pilot to test CRM workflows that validate and gather customer data
Follow established procedures to maintain Network Membership data using our CRM
Monitor the Network's email inboxes, triage and distribute email queries to the appropriate person, and ensure queries are answered
Secondary Responsibilities (20%)
Support the gathering of event requirements,
Coordinate the pre-event communication & preparations
Manage and develop post-event activities
Maintain the external events management systems
Participate in team meetings and activities
Maintain event metrics,
Knowledge and Experience required:
2-5 years' experience managing online events in a European or international organisation, working independently and within a team, working across several projects concurrently.
Online systems and tools
A range of editorial (Microsoft and GoogleWorkspace), content (Canva) and event management tools (Zoom). Experience with EU-based tools such as Pretix and Pretalx is an advantage
Using and developing CRM systems, workflows and online s. Experience with Zoho is an advantage
Office administration tools to support invoicing and reporting functions.
Strong focus on customer experience, with attention to detail and a proactive approach
Demonstrates strong communication, organisation and prioritisation skills.
Ability to work with a range of stakeholders where differing levels of discretion, confidentiality, knowledge or protocols apply
Ability to remain calm under pressure (for example, when resolving an issue during a live online event)
Proficient in English
Salary and Benefits
Your monthly salary is estimated between EUR 3,600 - 4,400 (based on full-time employment), depending on the level of your experience
A holiday allowance of 8%
A thirteenth-month bonus
A part-time fixed-term contract (28-32 hours per week) for five months, from April to the end of August
A hybrid working model, with the flexibility to work remotely or from the office. The role is expected to cover Tuesday, Wednesday and Thursday, with Tuesday and Thursday normally worked from the office. Some flexibility in the exact days may be required depending on event needs.
