BACKGROUND
IUCN, represented by its Bangladesh Country Office, is implementing projects with support from various donors. To ensure the smooth operation of these projects, IUCN requires a Finance Associate.
JOB DESCRIPTION
1. MAJOR RESPONSIBILITIES
Under the direct supervision of the Finance & Administration Manager, and the functional supervision of Senior Programme Officer,Wildlife Conservation. Finance Associate will be responsible for assisting in implementing the project activities and project development, especially in the light of the Partnership Agreement between donor and IUCN.

2. SPECIFIC DUTIES
Under the overall guidance of the Finance & Administration Manager of IUCN Bangladesh, Finance Associate will undertake following specific responsibilities:

2.1 Book-keeping and General Accounting
• Scrutinize bills and vouchers in accordance with the organization’s financial policies for payment processing.
• Prepare payments for staff, suppliers, PNGOs, vendors, etc., ensuring that all supporting documents are attached to the vouchers and that no duplicate payments are made.
• Manage petty cash payments and conduct regular reconciliation in line with IUCN policies and procedures.
• Enter data into the ERP system on a daily basis, ensuring that all entries are accurate and error-free.
• Prepare advance adjustments with the necessary vouchers, including intercompany transactions.
• Maintain organized files for vouchers and other financial documents.
• Stamp all invoices as “PAID” at the time of payment.

2.2 Logistical Support
• To ensure that the administrative filing and record-keeping system is efficient and that all important documents and correspondence are well organized.
• To ensure that all types of events, meetings, workshops, seminars, and conferences are well organized and conducted efficiently.
• To ensure that office cleaning, equipment maintenance, computer networking, and utility bills are properly updated, monitored, and recorded.
• To ensure that annual insurance coverage for staff is completed within the stipulated timeline and that general insurance for office items is updated on a yearly basis.
• To ensure that office vehicles are properly maintained, with updated logbooks and smooth operation.
• To ensure that attendance registers are properly maintained.

2.3 Treasury
• Prepare cheques or electronic bank transfers for payments.
• Collect cheque books and bank statements from the bank on a regular basis and maintain them in safe custody.
• Prepare bank account reconciliations on a monthly basis.
• Ensure that all bank-related correspondence is filed separately and maintained chronologically.

2.4 Project Reporting and Budgeting
• Assist the Finance & Administration Manager in financial matters, particularly in the preparation of budgets and financial reports, in line with organizational requirements.
• Assist the Finance & Administration Manager in extracting Jet Reports from the ERP system for the preparation of project reports.
• Assist in preparing any other financial analysis reports as requested by the Finance & Administration Manager, the Country Representative, Thematic Coordinators, or other relevant staff.

2.5 Others
• Ensure that Income Tax and VAT are deducted from bills, where applicable, in accordance with government regulations before making payments to vendors. Tax and VAT shall be deposited to the government treasury using the prescribed forms on a regular basis.
• Assist auditors during audits by providing the necessary information and supporting documents.
• Update the fixed asset schedule on a regular basis, reconcile it with the administration and finance asset registers, and ensure that new assets are properly tagged as required.
• Conduct field visits as and when required.
• Ensure that financial and administrative services are provided to programme and other teams as needed.
• Perform any other specific responsibilities as assigned from time to time by the line manager.
REQUIREMENTS
• Education
- Master’s degree in Accounting, Finance, or Business Administration (MBA with major in Finance/Accounting) from a recognized and reputed university.
- Bachelor’s degree in Accounting, Finance, Business Administration, Commerce, or a related discipline may be accepted in lieu of a Master’s degree, provided it is supplemented by at least two (02) additional years of relevant professional experience in finance, accounting, or financial administration.
- Partly qualified or fully qualified professional accounting certifications (such as CA, CMA, ACCA, or equivalent) will be considered a strong advantage.


• Training and Experience
- Minimum 4–6 years of relevant professional experience in finance, accounting, or administrative support functions, preferably with international and/or national NGOs, development organizations, or donor-funded projects.
- Sound working knowledge of procurement procedures, financial compliance, administrative processes, asset and inventory management, and logistical support, preferably in a project-based environment.
- Demonstrated practical experience in the use of computerized accounting and administrative systems, particularly ERP-based software.
- Strong computer literacy, with proficiency in MS Word, MS Excel, and MS PowerPoint; advanced Excel skills will be considered an advantage.
- Experience supporting financial and administrative reporting, record keeping, and documentation in accordance with organizational policies and donor requirements.

- Sound decision-making and problem-solving skills, particularly in dynamic project environments.


• Language
- Excellent English language skills (oral and written) and Bangla.
