The Position:

Under the overall supervision of the International Operations Manager, the Admin/Travel Assistant ensures the effective execution of the UNFPA Programme in Haiti. This involves managing data and supporting program implementation in strict accordance with UNFPA rules and regulations. The Assistant works closely with Operations, Programme, and Headquarters staff to resolve operational needs on daily administration and travel

Job Purpose:

The Haiti CO requires skilled professionals to strengthen the link between Programme and Operations sections. The Admin/Travel Assistant serves as a direct liaison, supporting program managers to achieve results related to the overall implementation of the country program. This includes logistical support for travel via UNHAS and commercial flights, as well as coordinating with partners 

You would be responsible for:

Administration and Travel Management

  • Travel management for staff members as well as other partners (flight and vehicle reservations for all official travel)
  • Initiation and follow-up of mission requests in UNALL
  • Management of workshops, meetings, seminars, and all other events organized by the office, including logistical support for planned activities
  • Support to office procurement processes, including requests for pro-forma invoices, preparation of comparative tables of offers, and submission for approval

Logistics and Coordination

  • Manage travel arrangements, including flight, hotel, and vehicle rental reservations
  • Ensure that all travel requests comply with UNFPA procedures and allocated budgets
  • Provide full support and assistance for the procurement of equipment and supplies for projects, as well as for other operational and administrative needs of the Country Office
  • Support the vehicle fuel procurement process
  • Ensure arrangements for official travel of UNFPA Haiti office staff for both local and international missions
  • Support the entry of payment requests in AODOCS
  • Submit requests in Quantum: Requisitions / Purchase Orders
  • Follow up on payment files with the Finance unit
  • Actively participate in the work of OMT sub-groups
  • Serve as the focal point for the Business Operations Strategy, providing information related to travel and other administrative matters
  • Support year-end closure activities, including analysis of requisitions and purchase orders to be closed

Carry out any other duties as may be required by UNFPA leadership. 

Qualifications and Experience: 
 

Education:  

High School Diploma required. University degree in Social Sciences, Public Administration, Business Management, or related fields preferred.

Knowledge and Experience: 

  • At least 4 years of increasingly responsible experience in programs and/or administration at the national or international level.
  • Professional experience with the UN is an asset.
  • Proficiency in office software (MS Word, Excel), databases, and web-based management systems

Languages: 

Fluency in French and Creole is required. English working knowledge. Other official UN languages, preferably French and Portuguese, are desirable.
