Role Purpose
The grants coordinator will coordinate the process of ensuring donor compliance & reporting by following established processes, and ensuring all documentation are in line with donor and plan international guidelines
Dimensions of the Role
Under the guidance and direct supervision of the Risk and Internal control Manager, the Grants Coordinator will be responsible for coordinating with finance, programs and otRisher departments incl BD on donor regulations, donor and National Office contracting, grants policies, procedures, and reporting. In addition, this role will work alongside the grants and partnerships officer on partnership assessments, contracting and project files close-out.
Accountabilities
Grants Management
- Assist the line manager in Drafting and revising (when necessary) all policies and procedures related to grant management, including setting and managing FADs for Plan International Lebanon.
- Maintain a broad and deep understanding of donor policies, regulations and procedures and build this knowledge among other team members.
- Support the team to ensure that all projects meet the donor requirement in quality and time, including reports, monitoring of results, procurement conditions, expenditure eligibility conditions, budget amendments, RH management reports, cost or no cost extensions and budget performance.
- Proactively identify donor compliance risks throughout the portfolio and advise programs, operations, finance and senior management on necessary actions.
- Work closely with BD unit and Lead on developing Funding Agreement Documents in coordination with the line manager and relevant Plan International Lebanon and National Offices staff and ensures appropriate follow ups incl. signatures are in place.
- Review Grants Amendments (No Cost Extensions, Cost Extensions, Realignment) and Coordinate with Programs, BD unit and Finance teams on regular basis.
- Conducts briefing sessions on donor requirements and reporting templates with Plan International staff and partners, in coordination with relevant Plan National Offices.
- Lead on project creation and closure on SAP/ERP system through assigning appropriate codes and using relevant currencies in coordination with the line manager. Ensure Grant cleansing is followed up and appropriate action is taken in time.
- Ensure quality information management related to grants by overseeing the regular maintenance of reporting calendars, and updating of internal documentation, tools and processes.
- Work with the Finance and Programme Teams to ensure the effective utilization of grants monitoring systems in terms of projections and forecasting, the monitoring of expenditure, negotiations with NOs for budget modifications and completion of project reports.
- Conduct Monthly grants review meeting with finance, programs and operations to follow up on project implementation, spending, risks and challenges and take appropriate action.
- Work with the finance team to monitor and support income recognition and reporting in coordination with NOs, RH and GH.
- Ensure Grant Budget proposals are prepared in conformity with cost recovery and follow up with Business Development team.
Report Management & Coordination with the team
- Take the lead on internal and external reporting with programs and finance, ensuring high-quality, and timely reports meeting donor and Plan International templates and requirements.
- Maintain up to date reporting tracker and advise relevant team members.
- Ensure appropriate openings by scheduling and coordinating the internal start up workshop and closings of grants by sending closeout notification project 3 months before closing and review closeout checklists and follow up with the team on action points.
- Report on a quarterly basis funding on activity info.
- Support the line manager to Coordinate Plan International Lebanon’s quarterly reporting process closely with relevant Managers and Focal Points - KPI
- Support the grants and partnerships officer in conducting partnership assessments.
- Contribute to Partnership Agreements in collaboration with the grants and partnerships officer.
