📌 Type of Contract: Service Contract

📍 Duty Station: Jerusalem, Palestine

➡️ Duration: 12 months (renewable)

The position is only open to nationals or residents with a legal permit/ID to work in Jerusalem.

🔄 Roster: Upon the completion of a competitive selection process, successful candidates will be placed on the roster and rostered applicants may be contacted in the future on an as-needed basis, for immediate opportunities.

What will you do in this position?

This roster is established to fill several Business Support Assistant positions within WFP Palestine’s Supply Chain Unit. The Business Support Assistant is expected to deliver standard business support processes and facilitate effective service delivery within his/her designated team.

Depending on the candidate’s profile, the selection outcome, and the need of the Programme, the selected Business Support Assistant will be allocated to one of the following teams:

Funds Management, to support invoice processing, payment recording and managing receipts.

Information Management, to support Supply Chain operations through the management, consolidation and reporting of operational data, and strengthening internal information-sharing and communication mechanisms

Procurement, to provide administrative and operational support to the Procurement Officer for the Food Portfolio by assisting with routine procurement processes, vendor updates, and documentation to ensure timely and compliant procurement for Gaza operations.

On Demand Support (ODS), to support the provision of WFP Palestine logistics services under ODS through follow up with internal teams, partners, and field offices. E.g., assistance with logistics and fuel service delivery and temperature‑sensitive logistics.

How can you make a difference?

Under the supervision of Procurement/Logistics/Supply Chain Officer, the Business Support Assistant will provide support to the corresponding team to:

  • Gather information with clear directions to support the drafting of documents and preparing reports by other staff.
  • Respond to queries and escalate where appropriate, in order to provide a timely and accurate service to clients.
  • Support processing and managing routine administrative and financial tasks in various functional areas, to contribute to the effective and timely management of resources.
  • Provide revision and proof-reading services for standard documents, to contribute to the development of accurate documentation.
  • Take responsibility for the maintenance of set standard systems and files, to ensure information is accurate and readily available for the function.
  • Identify simple discrepancies in statistics and data, such as missing information, and report to senior staff in order to support clients to deliver their work.
  • Take responsibility for data integrity to facilitate availability of accurate information in corporate systems.
  • Provide guidance on routine business support methods and practices to junior colleagues to ensure services are delivered consistently and to the required standards.
  • Work with a variety of individuals, taking on feedback where appropriate to assist in business support delivery for staff.
  • Other tasks as assigned by the supervisor

QUALIFICATIONS & EXPERIENCE REQUIRED:

EDUCATION: Completion of secondary school education. A post-secondary certificate in Logistics, Procurement, Supply Chain, Administration or other relevant fields is desirable.

EXPERIENCE: Four years of progressively responsible working experience in Logistics, Procurement, Supply Chain, Administration or other relevant fields.

REQUIRED KNOWLEDGE & SKILLS:

  • Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
  • Knowledge of work routines and methods in order to complete processes under minimal supervision.
  • Uses tact and courtesy to give and receive information to a wide range of individuals.
  • Ability to identify data discrepancies and rectify problems requiring attention.

LANGUAGES: Fluency (level C) in English and Arabic languages.
