Role Purpose

The Operations Officer, Programs, supports the team through advanced operational responsibilities. This role will focus on overall operational support that includes budget planning, tracking, analysis and reporting; grants and contracts management, analysis, and reporting; events planning and management; unit’s workplan workplan and deliverables management; calendars, travel, and expenses management for Director and Associate Director: preparation of briefing materials and presentations; special projects execution; acting as a liaison with relevant OSF units.

Key responsibilities

  • Manage contracting, events planning, and coordinate action items & deliverables

  • Manage the unit’s budget, including forecasting, monitoring, analysis and reporting, working closely with the OSF Finance, Planning, and Analysis department

  • Support grantmaking process, organize files and maintain records, and generate reports

  • Perform tracking and analysis of grantmaking and operations budget

  • Generate briefing materials, presentations, and reports

  • Oversee the team’s workplan and track progress of key areas of focus

  • Co-responsibility in managing the Managing Director and Associate Director’s calendars, annual leave, travel requests and expenses reports

  • Work closely with the Managing Directors Office and help coordinate crosscutting workstreams as well as special projects. Assist in planning and managing meetings/events

  • Serve as a critical liaison between the Network Grants unit and other parts of the OSF network, exercise considerable discretion and work under limited supervision

  • Other high-level administrative duties as needed.

  • Apply technical skills in planning, reporting, vendor management, and service delivery

  • Execute projects independently, managing time, and stakeholders

  • Monitor progress implementation, project risks, and other relevant status updates and communicate to Director regularly

Directors, Opportunity Teams; Managing Directors, Programs; Operations Departments, including Grants Management, Finance, Planning and Analysis Department, and Office of General Counsel.

Key external relationships

Partners; External organizations relevant for event management and logistics

The ideal candidate

  • Educated to a degree level (or equivalent)

  • Proven experience in managing budgets, complex projects, including the use dedicated tools and platforms to track progress and deliverables

  • Multiple years of prior experience in generating reports, preparing presentations and briefing materials

  • Multiple years of prior experience in providing executive support services and event planning supporting senior leaders

  • Proven experience in collaborating, engaging and supporting multi-country team and stakeholders across different time zones

  • Ability to manage complexity, think through processes and take initiative

  • Ability to effectively plan, organize, and prioritize activities to efficiently meet objectives (within a complex and multi-geography environment)

  • Ability to manage, analyze data and draw insights for managers

  • Proficiency in budgeting, planning and analysis, and leading complex projects

  • Proficiency in office software and technology, including planning software (e.g., MS Office Suite; Asana)

  • Excellent writing and communication skills with the ability to express ideas, request actions, and/or formulate plans or policies

  • Attention to detail and problem-solving skills

  • An excellent knowledge of English and French

  • Knowledge of other languages would be an asset
