ABOUT WFP:
ORGANIZATIONAL CONTEXT: These jobs are found in Country Offices (COs), Regional Bureaux (RBs), and Headquarters (HQ). The Job holders report to a Head of Unit
At this level job holders are expected to take responsibility for completion of a range of tasks and activities requiring some interpretation of standard guidelines/practices. Job holders are expected to recommend a course of action to staff at various levels and may allocate tasks to other support staff.
JOB PURPOSE: To support the effective delivery of specialised, client-focused, and value-for-money services pertaining to the Management Services portfolio.
ACCOUNTABILITIES/RESPONSIBILITIES:
1. Perform tasks and activities within Management Services portfolio to support efficient and high-quality service delivery.
2. Collate data and prepare basic analysis to assist with the creation of reports to contribute to efficient management of resources.
3. Process routine actions related to procurement, human resources, facility management and other relevant areas contributing to the effective and timely recording of data in corporate systems.
4. Manage and maintain physical and digital records in accordance with established procedures to ensure swift and easy data access as required.
5. Providing timely and accurate responses to facilitate efficient and effective resolution of daily issues.
6. Utilize digital tools and technology applications to improve working practices and customer service.
7. Liaise with other functions and third-party contractors to enable efficient service delivery.
8. Provide advice and guidance to junior staff in performing their duties.
9. Support the preparation and submission of requests to the MOFA and other relevant Iraqi authorities for visas, residencies, ID cards, protocol notes, customs clearances, note verbal and related services.
10. Facilitate customs clearance requests for WFP shipments, pouches, and staff personal effects.
11. Perform any other related duties in support of administrative services as required.
QUALIFICATIONS & EXPERIENCE REQUIRED:
EDUCATION: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.
EXPERIENCE: At least 5 working years of relevant experience in administration, or liaison with government institutions. Experience with UN agencies or international organizations is an asset.
KNOWLEDGE & SKILLS:
LANGUAGES: Fluency (level C) in English & Arabic language is required in both oral and written communication.
DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE:
Has demonstrated understanding of WFP Management Services regulations, policies, procedures, processes, standards, and systems.
Has experience in collating data and preparing basic analysis pertaining to Management Services portfolio such as management of assets, facilities, fleet, travel, or similar areas.
Has supported staff by providing advice and guidance.
Has experience working with teams across different functional areas.
Excellent organizational skills with attention to detail.
Good knowledge of administrative procedures, filing, and document tracking.
Proficiency in MS Office applications (Word, Excel, Outlook) and ability to maintain databases/trackers.
