Supply Chain Assistant- Logistics

The Danish Refugee Council (DRC), one of the world’s leading NGOs, with a focus on responding to displacement, have been registered in Sudan since 2004, delivering life-saving programming in protection, emergency response, shelter, food security and livelihoods, disaster risk reduction, camp management, and humanitarian mine action. DRC has implemented projects in Central Darfur, South Kordofan, Gedaref, Port Sudan, and White Nile. Sudan hosts one of the largest displaced populations in Africa, with over 3.7 million internally displaced people and over 1.1 million refugees from South Sudan, Ethiopia, Eritrea, Central African Republic, Chad, Yemen and Syria. Against a background of political crisis, Sudan faces economic and social turmoil, with sharp increases in food and energy costs, further exacerbated by disease outbreaks and ongoing conflict.

POSITION PROFILE

The overall purpose of the role:

The Supply Chain Assistant Logistics’ main objective is to provide support in the Supply chain department in efficient and effective Logistics implementation and smooth running of departmental operations of capital office with emphasis

support logistics staff and functions including implementation of DRC Dynamics. The role expected to contribute to strengthen the overall supply chain functions. This position will also ensure implementation of audit recommendation related to logistics.

The post holder will be expected to assist the Supply Chain team leader in fixed asset, and fleet management and ensuring that all logistics operations are managed and maintained in an efficient manner as per DRC’s internal and donor procedure & as per the Operations Handbook.

DUTIES & RESPONSIBILITIES

Inventory and Warehouse Management

  • Assist SCTL for ensuring compliance and implementation of Operations Handbook on inventory and warehouse management at capital level
  • Provide monthly comprehensive country report on warehouse inventory to SCTL (list and stock value in hand).
  • Assist SCTL in making sure distribution/ Disposal are done on time and on regular bases to have clean up to date records and stock.
  • Ensure implementation of all DRC warehousing procedures throughout all WH premises and activities. including Stock/ Bin cards, temperature control, expiry checks etc.
  • Proper record of all inventory items for all offices and GH, GPE records to be updated.

Asset Management

  • Assist SCTL and support in compliance and implementation of Operations Handbook on asset management.
  • Support country & Field SC team for monthly comprehensive country reports on Inventory/Assets, compile all report and provide to SCM
  • Making sure that all assets are tagged for all Energy and ICT equipment including the General program equipment
  • Put a systematic system in place for reporting for all the related to GPE and equipment list

Fleet Management

  • Maintain fleet management data base and ensure monthly mileage reports are made and analyzed.
  • Making Sure all Generators under DRC use are well maintained and services regularly as required.
  • Assist SCTL for compliance and implementation of Operations Handbook.
  • Coordinate Logistics officer and with program and perform right sizing of fleet exercise.
  • Ensure an effective fleet management practice in DRC especially for the service contract vehicles for all country

DRC Dynamics ERP System

  • Ensure proper application of DRC Dynamics supply chain processes (mainly P2P and Asset Management) in the operations.

Apply reports and data analytics from ERP supply chain system to improve supply chain performance

SKILLS AND EXPERIENCES

  1. Minimum 1 years of experience in humanitarian logistics management within the field of Supply Chain Management, Fleet Management, Asset Management, and Distribution Support
  2. Excellent computer skills in MS Word & Excel, as well as experience working with an ERP system
  3. Experience with standard procurement procedures and documentation.
  4. Experience working in an (I)NGO

EDUCATIONAL QUALIFICATIONS: (include certificates, licenses etc.)

Bachelor’s Degree in Logistics and Supply Chain Management, Business administration or related field.

Language:

Fluent in both oral and written English, Arabic is desirable

Salary and conditions will be in accordance with Danish Refugee Council’s Terms of Employment for national employees.
