The Volunteer Coordinator is responsible for collaborating with IRC staff to determine volunteer, intern, mentor, and AmeriCorps needs. The coordinator will recruit, screen, train, and supervise recruited volunteers, interns, and mentors; provide on-going support and guidance; and manage volunteer information in a central database system. The coordinator will develop trauma-informed training materials to best prepare volunteers, interns, and others for their work with IRC clients.

Major Responsibilities

Internship Coordination
• Ensure the IRC maintains an active, effective, professionally managed intern and volunteer program.
• Liaise actively with program managers and other staff members on intern/volunteer opportunities for their respective programs. Ensure assignment descriptions align with staff and client needs and are consistently formatted and posted.
• Organize three recruitment cycles (fall, spring, summer) and manage office-wide application and interview process.
• Oversee onboarding and exit process for all interns. This includes processing background checks, setting up and closing IRC accounts, leading general orientation sessions, and managing other situations as needed.
• Maintain relationships with all universities in the area.

Volunteer Coordination
• Coordinate with staff to determine volunteer needs and assist with assignment description development
• Conduct outreach activities to attract new volunteers; recruit and interview candidates.
• Conduct regular information sessions for potential volunteers, interns, and mentors.
• Maintain regular communication and act as a liaison between IRC staff and volunteers.
• Maintain volunteer files; enter case notes and records in database; manage timesheets and timesheet entries each month.
• Oversee onboarding and exit process for all volunteers. This includes processing background checks, setting up and closing IRC accounts, leading general orientation sessions, and ongoing supervision.
• Solicit opportunities to speak publicly about the work of IRC and actively recruit community involvement.
• Actively participate in the Volunteer Coordination Communities of Practice.
• Conduct recognition events for volunteers and interns.

AmeriCorps and VISTA Coordination
• Recruit VISTA members as needed, in collaboration with department supervisors.
• Coordinate with VISTA members and supervisors to prepare funder reports as required.

Outreach, Training and Other
• Refine and implement an effective local community engagement strategy for the benefit of the community and IRC’s clients. Community engagement includes general support of IRC’s mission and clients, financial and in-kind donations, and co-sponsorship of IRC clients by community-based groups, including but not limited to businesses, civil society, and faith-based organizations.
• Collaborate with IRC colleagues to amplify messaging about IRC’s work and how community members can support refugee and immigrant families.
• Increase community engagement through outreach. Meet with community members, deliver presentations, represent IRC at local meetings, and create tools, fact sheets, presentations, and templates.
• Plan and implement events and opportunities that foster deeper connections between newcomers and volunteers.
• Coordinate with colleagues to ensure timely delivery and documentation of services for sponsored families, in accordance with funder guidelines.
• Assist in managing shared mailboxes, Facebook page, and other external-facing communication.
• Organize and lead info session webinars to provide an overview to potential volunteers of all current volunteer opportunities.
• Maintain individual files on all interns and volunteers, record and report all intern/volunteer time, and keep accurate electronic records. Coordinate with colleagues to ensure volunteer processing and documentation is tracked.
• Update and develop resources to manage intern and volunteer lifecycle.
• Supervise community engagement interns or other volunteers as needed.
• Assist with the collection and distribution of in-kind and monetary donations as needed.
• Use personal, insured vehicle and/or public transportation (where available) to travel and transport clients and materials as needed throughout the service delivery area.
• Other tasks and projects as assigned.

Job Requirements

Education: Bachelor’s degree from an accredited university or college preferred.

Work Experience: Minimum of 2-3 years of related professional experience.

Demonstrated Skills and Competencies
• Prior volunteer or professional experience in community development or volunteer coordination strongly preferred.
• Experience working with refugee and/or immigrant populations strongly preferred.
• Strong relationship building, diplomacy, and networking skills; ability to effectively build internal and external relationships.
• Demonstrated success working and communicating effectively in a multi-cultural environment.
• Self-starter with excellent problem-solving skills combined with the proven ability to multi-task, prioritize duties, and manage time effectively.
• Self-direction and initiative, when needed, to take the lead and to follow through to completion.
• Proficient in Microsoft Office applications (Word, Excel, Outlook); ability to use the internet and other digital tools for data entry, research, and problem-solving purposes.
• Well organized with attention to detail.

Language Skills: Fluent in English, both spoken and written.

Working Environment
• A combination of standard office environment, remote work, and ‘field’ time within the service delivery area to perform the above outlined responsibilities.
• May require weekend and/or evening work.
• Must have a valid driver’s license with legally required insurance as position may require using own transportation within the service delivery area. Mileage reimbursement is available.

Compensation: (Pay Range: $28.50 - $28.50) Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
