What You'll DoProvides a wide range of administrative support duties for the project. The Senior Program Assistant independently responds to extensive and diverse inquiries, and makes decisions when multiple courses of action are required for the office. Essential Duties: Provide operational support for offices including supporting logistics, program implementation, and project activity start up and close-down procedures; Coordinates and tracks travel logistics for all the staff and consultants including visas, air tickets, hotel reservations, airport transfers and other travel requirements; Coordinate travel and activity requirements with courier, accredited travel agencies, car rental companies, hotels and other suppliers, and request for travel advance, in accordance with RTI’s Finance and Administration (F&A) policies and procedures;Perform daily procurement actions for the implementation of field program activities such as procurement of workshop materials, lodging accommodation for participants and rental transport requirements, in accordance with F&A and US Department of State’s and RTI procurement procedures and policies;Ensure complete documentation for timely reporting of field procurement activities;Assure proper e-filing of all field procurement-related documentationProvide information on status of contracts with vendors and suppliers, including status of payments or disbursements;Coordinate the timely processing and payment of all staff travel claims, vendor and supplier payments and other transactions with Finance;Actively maintain and update the filing system of the office to ensure all records are properly filed in appropriate folders on a timely basis. Advice the Finance Manager on any issues or improvements needed with the filing systems to ensure it is efficient, properly stored and safeguarded.Supports staff other administrative initiatives;Performs other duties assigned by the COPDisclosure: This role is contingent upon successful project award What You'll NeedMinimum Required Education & Experience Bachelor's Degree and 1 year of experience, Master's degree and 0 years of experience, or equivalent combination of education and experience. Skills & AbilitiesAn understanding of and commitment to RTI’s mission and valueAdditional professional training in procurement and logistics management preferredKnowledge of USAID rules and regulations a plus.Ability to work hands-on, independently, and within team.Culturally astute, respectful and tolerantPhysically healthy to perform the duties requiredDemonstrated experience using Microsoft Office applications including Excel, Word, and Power Point preferred.Ability to understand and interpret policies and procedures as well as the ability to apply them with consistency in a variety of circumstances.Ability to function independently and carry out routine responsibilities with minimal supervision.Considerable knowledge of office practices and procedures or the ability to comprehend them.Discreet in the judgment and management of confidential matters, materials and sensitive issues.Ability to answer most inquiries and questions independently and follow up on requests in an efficient manner.Ability to resolve problem situations is a tactful and effective communicator, both orally and in writing, ability to deal with persons of diverse cultures.Excellent communication and interpersonal skills; ability to work with senior government officials.Good command of both written and spoken English applicable to project requirements.Experience on international donor-funded development projects is a plus
