About the Hiring GroupThe Department of Data Collection & Systems is seeking a Mail & Data Capture Workflow Coordinator to support fulfillment and data capture operations at RTI’s Research Operations Center (ROC) located at RTI’s headquarters in Research Triangle Park, NC. This salaried, exempt position plays a key role in coordinating operational workflows that support research data collection activities. The ideal candidate will be highly organized, detail-oriented, and able to communicate effectively across teams and organizational levels. As part of the ROC Operations team, the coordinator will manage project workflows, track production capacity and schedules, and support internal client communications within FDC. Responsibilities also include coordinating contract staff, supporting fulfillment and data capture projects, overseeing quality control processes, assisting with system testing and form development, and managing study incentive operations. What You'll DoWorkflow Coordination & OperationsCoordinate daily activities with data‑collection and production staff to ensure adherence to written procedures, operational plans, contract requirements, quality standards, and performance goals.Receive and triage requests from internal clients; respond appropriately under the guidance of departmental management.Support communication with project teams across RTI, including on‑site and off‑site offices.Oversee workflow for coding, keying, scanning, and other data‑capture processes to ensure timely and accurate preparation for computer processing.Coordinate respondent and staff mailings across divisions, ensuring schedules, inventory, and quality requirements are met.Assist with incentive room operations, including inventory, fulfillment, and documentation. Production, Quality Control & DocumentationAssist with production planning, quality monitoring, and records management for data‑collection projects.Perform mail‑merge printing, assembly, and quality‑control tasks for research mailings in a high‑volume environment.Conduct quality‑control checks to verify compliance with project‑specific quality management plans.Investigate discrepancies, identify root causes, and make routine corrections or escalate issues as needed.Perform editing and proofreading of technical and non‑technical materials to ensure accuracy and consistency.Support testing of data‑entry instruments, workflow tools, and reporting mechanisms; recommend improvements to enhance accuracy, throughput, and operational efficiency. Staff Support, Training & DevelopmentAssist with onboarding, training, and cross‑training of Fulfillment and Data Capture staff to ensure clear understanding of roles, responsibilities, and standard operating procedures.Support day‑to‑day staff management activities, including mentoring, coaching, and providing constructive feedback.Contribute to staff development initiatives aimed at improving technical and professional skills within the unit.Help foster a positive, collaborative work environment that promotes high morale, teamwork, and continuous improvement.Continuous Improvement & Resource ManagementIdentify opportunities to streamline workflows, enhance service offerings, and improve operational efficiency.Assist with equipment and supply inventory management, including monitoring usage, forecasting needs, and coordinating replenishment.Perform departmental tasks as needed to ensure deadlines, quality standards, and production goals are consistently met.
