Job Description

The Position:

Under the supervision of an Administrative Associate, the incumbent is accountable for operational support and clerical services to assist in the smooth running of the office to which assigned. The accountabilities/key results expected are:

  • Operational Support
  • Secretarial Support

These duties are generic and thus not all inclusive nor are all duties carried out by all Office Assistants at this level

Job Purpose:

OPERATIONAL SUPPORT: The Office Assistant supports higher-grade Associates/Assistants in the provision of general office and facility operational support. Accountabilities typically include receiving, sorting, and distributing physical correspondence and documents; supporting printing, photocopying, scanning, binding, and filing of official documents; assisting with the organization and maintenance of office storage and archives; supporting basic office maintenance activities; reporting any facility, furniture, or equipment issues requiring repair; assisting with the movement of office furniture and equipment when required; and maintaining adequate stock levels of stationery, cleaning materials, and office supplies through regular physical counts.

OFFICE SUPPORT: Office Assistants at this level provide the full range of non-technical clerical and office services support to office staff. Accountabilities typically include preparing meeting rooms and offices for official use; supporting the physical preparation of  meeting materials; maintaining orderly filing and archiving systems for hard-copy records; supervising and coordinating daily cleaning activities with the contracted cleaning company to ensure cleanliness and hygiene standards are met; performing regular cleaning, stationery, and consumables inventory counts; supporting periodic physical asset verification exercises; notifying the Administrative Associate/Assistant of any asset movement, loss, damage, or required repair; and supporting logistics and office setup activities as required.

MANAGERIAL FUNCTIONS: The The Office Assistant is accountable for integrity, transparency, and equity in the personal use and handling of assigned UNFPA resources, including office equipment, furniture, stationery, and supplies. Ensures proper care, appropriate use, and timely reporting of any damage, loss, relocation, or maintenance needs of UNFPA assets and facilities, in line with organizational policies and procedures.

Qualifications and Experience: 

Education:  

  • Secondary school education is required.
     

Knowledge and Experience: 

  • At least two (2) years of general office and/or clerical experience.
     

Languages: 

  • Excellent written and verbal communication skills in Arabic. Working knowledge of English is desirable.
