Job Overview:

We are looking for a Project Manager Assistant to support the effective coordination, administration, advocacy and day-to-day implementation of the Kids4EU project, a transnational initiative promoting civic education and EU values—such as equality, pluralism, and human rights—among children and adolescents.

Reporting to the Project Manager, the Project Manager Assistant will provide operational, administrative, and coordination support to ensure project activities are delivered on time, documented accurately, and in line with EU funding and IRC requirements. This role is well-suited for a detail-oriented professional seeking hands-on experience in EU-funded project management, civic education, advocacy and child-focused programming.

Major Responsibilities:

Responsibilities include, but are not limited to:

  • Support the Project Manager in the planning, implementation, monitoring, and documentation of project activities in compliance with EU and CERV funding requirements.
  • Assist with day-to-day project coordination, including scheduling meetings, preparing agendas, taking minutes, and following up on action points with partners and internal teams.
  • Support budget tracking through financial documentation, including collection and organization of invoices, timesheets, and supporting documents in line with donor rules.
  • Liaise with project partners in Denmark, Greece, Italy, and Poland to support smooth communication and timely information exchange.
  • Provide logistical and administrative support for trainings, workshops, and transnational meetings, including preparation of materials and coordination with participants.
  • Assist in the preparation of project reports, advocacy material, updates, and internal documentation for funders and stakeholders.
  • Support dissemination, communication, and visibility activities, including coordination of content, events, and project outputs.
  • Maintain organized project files and databases, ensuring accurate record-keeping and compliance with IRC and donor requirements.
  • Support monitoring of project progress against work plans and timelines, flagging risks or delays to the Project Manager.
  • Uphold child protection, safeguarding, and ethical standards across all project-related tasks and activities.

Job Requirements:

  • Strong organizational and administrative skills, with high attention to detail.
  • Ability to manage multiple tasks simultaneously and meet deadlines in a dynamic environment.
  • Strong written and verbal communication skills
  • Fluency in Greek and English (written and spoken).
  • Ability to work collaboratively in a multicultural and transnational team.
  • Commitment to IRC values, including inclusion, equality, and safeguarding.

Bonus Points For

  • Previous experience supporting EU-funded projects or international programs.
  • Experience working on education, youth, or civic engagement projects.
  • Familiarity with child participation, inclusive education, or rights-based approaches.
  • Experience with project reporting, data collection, or donor compliance.
  • Interest and familiarity with policy influence practices.
  • Knowledge of additional European languages.

Compensation:

This position offers a part-time monthly gross salary range of 600 euros, depending on experience and qualifications.
