Job Description

Danish Refugee Council (DRC) is a leading protection agency with a mandate to protect, advocate and promote durable solutions for displacement affected populations.

DRC has been operating in Ukraine since 2014, currently DRC employs over 800 staff in Ukraine and implements emergency response in the Protection, Livelihoods, Shelter/NFIs and Humanitarian Disarmament and Peacebuilding (humanitarian mine action) sectors, using direct interventions, support to duty bearers and civil society organizations (CSOs), and partnerships with CSOs. DRC will continue and adapt its durable solutions portfolio to the evolving context.

DRC is currently looking for a Support Services Officer (Partnership Officer) in Kharkiv.

About the job

Support Services Officer (Partnership Officer) will contribute to strengthening partners’ organizational systems and processes, ensuring transparent, efficient, and compliant delivery of humanitarian and recovery assistance.

Your main duties and responsibilities will be:

  • Roll out capacity assessments with the partners, using the assessment tools developed by the country office;
  • Based on the results of capacity assessment, co-design with partners capacity strengthening plans;
  • Provide technical guidance, mentoring, and training to partners on compliance with donor requirements and DRC standards in the support services sectors;
  • Support partners in developing or improving internal policies, procedures, and documentation templates;
  • Support partners in developing budgets that comply with donor and DRC requirements;
  • Support the implementation of a Monthly Budget Follow-Up tool (actual vs. forecasted expenses) and organizing a monthly BFU meeting;
  • Regularly review partners’ ERP Dynamics and other financial reports and documentation for accuracy, completeness, and compliance prior to submission;
  • Verify partner instalment requests and ensure they are in line with the contracts:
  • Support partners in procurement planning and execution in line with DRC and donor regulations;
  • Support partners on procurement processes and documentation;
  • Conduct monitoring visits to the partner’s office to review how procurement processes are implemented, including verification of asset lists, inventories, and related documentation;
  • Support the partner to implement HR processes and practices in line with DRC policies and Ukrainian legislation;
  • Participate in internal and partner coordination meetings as required.

About you

To be successful in this position, we expect you to have at least 2 years of professional experience, preferably in INGOs, in Supply Chain, Accountancy/Finance, Operations. Moreover, we also expect the following:

Required

  • University higher professional education in Finance, Supply Chain, International Development, Business Administration.
  • Languages: Fluency in Ukrainian and intermediate level in English.
  • Computer literacy: confident user in MS Word, Excel, PowerPoint and Outlook.
  • Excellent organizational, interpersonal, diplomatic and communication skills.
  • Able to work with tight deadlines and under minimum supervision.

Desirable

  • Experience in using Enterprise Resource Planning (ERP) systems would be an asset.

We offer

  • Contract length: 3 months probation period, with the possibility of extension based on funding andsatisfactory performance.
  • Band: H nm.
  • Designation of Duty Station: Kharkiv.
  • Start date: ASAP.
