The HR and Finance Associate will provide dual support to the Human Resources and Finance departments, with responsibilities split approximately two days per week on HR tasks and three days per week on finance tasks. This position is essential in ensuring the accurate execution of payroll, benefits administration, financial transactions, budget support and internal system updates. The ideal candidate will be detail-oriented, organized, and capable of managing responsibilities across both functions in a dynamic environment.
JOB DESCRIPTION
HR Duties (Approx. 2 Days per Week):
• Assist in reviewing, preparing, and processing Semi-monthly payroll, retirement contributions, and FICA contributions in compliance with salary structures and compensation policies.
• Support employee inquiries related to payroll and access to ADP system.
• Preparation and filing of IRS Forms 1099 and 1096.
• First point of contact for employees regarding benefits plan details, enrolment procedures, coverage issues or complain management, and provide access to plan documents, including summary plan descriptions.
• Coordinate and management of group accounts for health, life insurance, workers’ compensation, including invoice payments and COBRA enrolments.
• Update HRMS with employee costs related to insurance, pension, home leave, and taxes.
• Collaborate with program managers and department directors to provide staffing cost breakdowns and employee-related financial data to support budget planning and proposals.
• Coordinate expatriate/repatriation relocation benefit approvals and process the payment.
• Manage onboarding for new staff via HRMS and ensure completion of all setup tasks, including access to benefits platforms (e.g., ADP, Empower).
• Maintain benefits portals for health insurance, life insurance/LTD and pension plans, including enrolments and terminations.
• File electronic employment documents in HR system from hire to separation and make recommendations on issues that need to be resolved.
• Perform other HR-related tasks as needed.

FINANCE DUTIES (Average 3 days a week)

• Deposit incoming check and cash payments promptly at bank.
• Process weekly Wire Transfer/ACH payments to staff (expense reimbursements, advances), vendors, partners and grantees.
• Carry out daily checking of all income received, and all payments processed from the IUCN bank accounts.
• Manage/process corporate credit card expenditures including monthly reconciliation.
• Assist with preparing invoices to be sent to customers/donors and record in the NAV. Review each month the AR aging report with Program Finance Officers and follow up as needed.
• Manage office petty cash fund and prepare/submit monthly petty cash report.
• Carry out other financial duties as requested by the Senior Finance Manager.
REQUIREMENTS
• Bachelor’s degree in finance, Accounting, Human Resources, Business Administration, or a related field preferred.

• Minimum 3 years of combined experience in finance and/or HR roles.

• Familiarity with payroll and finance systems (e.g., ADP), HRMS platforms, and financial software (e.g., Microsoft NAV).

• Understanding of U.S. payroll regulations, FICA, benefits administration, and 1099 reporting.

• Experience in budget development and staffing cost analysis is highly desirable.

• Proficiency in Microsoft Excel and Office Suite.

• Strong knowledge of accounting principles and financial reporting standards.

• Experience in bank reconciliation, accounts payable/receivable, and petty cash management.

• Familiarity with credit card reconciliation and income verification procedures.

• Experience in an international or nonprofit organization, or donor-funded projects is an advantage.

• Strong organizational and time-management skills, with the ability to manage multiple priorities across departments

• High level of attention to detail and confidentiality.

• Candidates must be legally authorized to work in the United States without the need for visa sponsorship. Visa sponsorship is not available for this position.
SALARY
The gross annual salary for this position is between USD 67'727 and USD 84'659. While this is an indicative amount effective as of the current date, changes may occur as per IUCN's compensation practices without prior notice. The same applies to other organisations hosted by IUCN.
