Job Description

Context
Under the overall supervision of Head of office, technical guidance of Head of Resources Management and Budget Officer and the direct supervision of the Senior Finance Assistant, the Finance Assistant will be responsible and accountable for providing the necessary support in matters of financial nature of the Mission.
  1. Manage petty cash and submit all transactions on SAP on daily basis, which includes cash payments for staff vendor advance and settlements, and vendor invoice payments (FBCJ)
  2. Collect cash from self-payers and issue receipts.
  3. Verify completeness of the document for Self Payers payments and all incoming payment and receipts before post them to related projects on prism (FBCJ).
  4. Maintain daily balance book to support petty cash and reorder cash in a timely manner.
  5. Verify payments to staff and non-vendors by ensuring services and goods are rendered and delivered, calculations are correct, and supporting documents are complete.
  6. Record payable entries to SAP financial system.
  7. Track account balances on bank – Finance monitoring sheet and ZTB.
  8. Perform cash count at the end of each mon.
  9. Deposit to the IOM bank account, on daily basis, the cash collected from Self-payers and from staff settlements to maintain cash balance to the allowed amount.
  10. Coordinate and follow up with banks and MTS regarding returned transfers, recall of funds, lost cheques etc.
  11. Maintain files and other documentations, and monitor manual filing and e-filing process on a weekly basis to ensure that the filing is up to date.
  12. Maintain Vendor accounts in SAP (clearing vendors).
  13. Process and follow up with all the payment transfers.
  14. Send out the monthly bills to respective staff members and request validation of personal sms, calls and internet.
  15.  Prepare RFP for the monthly mobile bill for international and on-call staff.
  16. Compile private usage of mobile and internet deductions and send to HR for payroll deduction.
  17. Provide general support to finance team in the absence of the team members.
  18. Perform such other duties as may be assigned.
Education
  • Bachelor’s degree in finance, Accounting, Business Administration, or any other related field with at least two years of relevant work experience.
  • Completed High School degree from an accredited academic institution, with at least four years of relevant professional experience.
Accredited Universities are those listed in the UNESCO World Higher Education Database.
 
Experience
  • Experience in Finance and/or Accounting, preferably with international organizations;
  • Knowledge of IPSAS and SAP/PRISM a distinct advantage;
  • High level of computer literacy, in particular, experience in computerized accounting systems and software. Good knowledge of MS Office specifically Excel.
Skills
  • Strong administrative and organizational skills.
  • Demonstrated ability to coordinate multiple activities and to work effectively and harmoniously with colleagues from varied cultures and professional backgrounds.
  • Demonstrated knowledge in preparing, encoding, and analysing finance and admin data into accounting system.
  • High level of computer literacy, especially in MS Excel application
  • High degree of analytical and problem-solving skills, including the ability to analyse financial information and accounting entries, examine documentation and reconcile discrepancies.
  • Proven record on working efficiently and flexibility in work hours.
Languages
  • For this position, fluency in English and Arabic is required (oral and written
IOM’s official languages are English, French and Spanish.
Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.
