Overview of position
Under the direct supervision of the Support Services Manager (SSM), and in accordance with our client policies, procedures and practices, the incumbent will be responsible for performing the following duties:
Role objectives
- Conduct periodic maintenance assessments and supervise maintenance works at all programme guesthouses.
- Conduct visits to suppliers as instructed by the SSM to receive quotations and to do visual inspections of goods on offer at the vendor premises. Note that, due to the fluid security situation in Gaza, the location of vendors might be in high-risk areas.
- Collect procured goods from vendors and transport goods to programme offices. Note that, due to the fluid security situation in Gaza, the collection and transport of goods can potentially be a high-risk activity.
- Conduct maintenance and safe and secure storage of all office equipment and property, including managing office supplies and stationery. Duties include maintaining a stock list of items, distributing supplies to staff as needed, and keeping a detailed log of distribution records.
- Assist the SSM in registering assets and ensuring accurate records.
- Assist the SSM to conduct physical inventory checks, draft periodic inventory and asset reports and support in the investigation of discrepancies.
- Support in ensuring all stores and equipment held by the programme are stored safely, correctly, and securely depending upon the item classification.
- Support the Senior Driver in maintaining an updated list of fleet supplies and fuel ensuring accurate records and ensuring there is no waste, fraud or misuse.
- Support the Senior Driver with daily checks on all vehicles.
- Assist the Senior Driver to provide on-time, standard monthly reports, including fuel consumption report and maintenance reports.
Project reporting
- This role reports to the line manager.
Key competencies
- Relevant experience is defined as experience with support services, general administrative, supply chain management, logistics, asset management, or related field. in national or international public or corporate organizations.
- Experience in handling web-based management systems is required.
Team management
- This role has no team management responsibility.
