The opportunity

The Grants Coordinator leads the process of project start-up and closure, Funding bundle agreement documents (FADs) development and management; grants management systems, grants records-keeping, donor reporting. She/he also provides Plan International Burkina with information and carries out technical monitoring of grants as required to ensure compliance with donor requirements and Plan’s policies and procedures.

The Grants Coordinator will support and assist the Business Development Manager (BDM) and the programme team in identifying and sourcing for funding from multiple sources, coordinate and manage the grant portfolio.

Key responsibilities

Grants & Fund Management

  • Develops donor budget based on project budget
  • Sets up Funding bundle agreement documents (FADs)
  • Establishes Electronic Grants records-keeping
  • Develops a schedule to tracks FADs reporting status
  • Organizes, in coordination with Program staff, grant start-up processes including participation in grant start-up workshops, budgets, Project Outline development, etc. as needed.
  • Develops a schedule of Grants reporting dates and data analysis (e.g. trends)
  • Checks consistency of narrative/progress reports, ensures donor reporting templates are used and ensures timely submission
  • Visits Program Unit and grant projects regularly to monitor grants progress & implementation, and to collect data as needed.
  • Prepares & ensures donor and National Offices (NO) visit objectives are met.
  • Organises quarterly calls with NO on the status of projects.
  • Reports all grants related issues to the Grants and Business Development Manager or any relevant manager.

System management

  • Serves as the Subject Matter Expert for the Grants & Funds Management Module of the system.
  • Ensures all approved funding approval documents (FADs) are administered in the system correctly as funding bundles and properly filed.
  • Ensures proper maintenance of all the grants, funds, SPADs and GMFADs in the system.
  • Ensures timely and proper setup of the grant and fund master data including linking the grant or fund to the project.
  • Updates and maintain the grants pipeline in the relevant system.
  • Close the grant in the system once necessary processes have been undertaken and notification received from NO or donor.
  • Work closely with the project finance team to ensure income is reflected on the grants.
  • Undertake any other responsibilities pertaining to system upgrade or enhancement.

Compliance

  • Support the development of the compliance framework, by maintaining a structured system of policies, procedures and controls that ensures funds are used in accordance with the regulations and conditions set by the donor.
  • Support the PM in setting up the project in line with donor requirements.
  • Ensure that all projects (grants & funds (sponsorship)) comply with established internal policies, procedures, and business processes.
  • Communicate donor requirements and regulations to relevant staff.
  • Work with various teams to ensure adherence to donor compliance.
  • Identify compliance risk in the grants’ portfolio.

Training and Development

  • Builds the technical capacity of PIIAs and implementing partners in donor compliance and in quality reports writing
  • Induct all new staff on system in the areas of grant and funds module.

Acquisition

  • Coordinates the Go-No Go decision for grants acquisitions
  • Actively participates in proposals development processes in collaboration of Programme and operations Staff.
  • Gathers Data for proposal development
  • update the grants pipeline and share quarterly reports on the same

Additional Responsibilities

  • Support in the annual planning and budgeting process.
  • Support audit processes.
  • Support final reporting.
  • Ensure the BD SharePoint system is updated on a regular basis, along with all supporting documents and submitted reports to ensure accessibility and sharing of information among all relevant staff.

BFA_Grants Coordinator Job Description

Location: Ouagadougou, Burkina Faso

Type of Role: Local Fixed-term contract (one-year renewable depending on performance and budget availability)

Reports to: Business Development Manager
