Marketing & Mobilization (M&M), a key part of External Relations (ER) is a dynamic team tasked with overseeing and executing communications and marketing, building the IRC’s global profile and brand, increasing private revenue from deep donor engagement and partnerships, and influencing our target audiences – all in the service of helping people facing the world’s worst humanitarian crises. Job Overview:

This role will serve as a key focal point across External Relations, and specifically between the Content & Creative Studio, Marketing & Mobilization, and Fundraising teams at the IRC. This person will play a pivotal role in both operations and hands-on project management, driving forward key high-visibility campaigns and projects, and optimizing workstreams as they go. They will drive collaboration and alignment between teams, ranging from day-to-day request management and coordination, up to managing large-scale events, all to enable critical fundraising efforts and meet organizational goals.

This person will be the go-to knowledge source for projects and campaigns, responsible for building and maintaining processes, workflow, timelines, invoices and budgets, all while managing multiple stakeholders across the organization. This role requires a hands-on, highly organized person, who is willing to roll their sleeves up and believes that no task is too small.

They’ll make sure the team has the right tools, processes, and support to work efficiently and flexibly. You’ll always be on the lookout for ways to improve on workstream, project, and strategy execution, overseeing department resources like budget and capacity, and promoting strong operations throughout the department.

The ideal candidate will excel at finding and rolling out simple, scalable solutions to sophisticated challenges, have strong project management skills, examples of successful process implementation and change management, and be able to explain complex issues clearly and concisely. They will also have examples of how they’ve driven campaigns forward across multiple teams, including at the leadership and C-suite level.

Major Responsibilities:

Strategic Planning & Operations

  • Streamline department processes to boost efficiency and productivity, continuously improving Content & Creative operations. Conduct effective change management to implement the new processes.
  • Proactively work with creative, fundraising, and communications leads to identify team needs and challenges, developing and implementing creative solutions that help prioritize resources and workflows.
  • Promote consistent processes across the division to enhance transparency, communication, and compliance.
  • Manage contracts, invoicing, and expenses for the Content & Creative team.
  • Promote a positive, collaborative, and efficient working environment

Campaign & Project Management

  • Lead stakeholder teams of 5-10 people on high visibility campaigns; oversee high-level approach, assign responsibilities, review work for quality, and sharpen the thinking.
  • Lead and be responsible for successful planning and delivery of large, complex projects with minimal supervision; scope the project, drive high-quality solutions at a quick pace, and quickly resolve roadblocks as they arise. Manage timelines, project boards, and apply structure to complex campaigns.

Creative Delivery Coordination & Management

  • Manage creative development and approval through the Creative Studio, from intake of requests and assigning the work, through to ensuring projects are completed efficiently, on time, within budget, and aligned with organizational goals.
  • Ensure all requests go through the creative workflow, project management tools, and relevant partners, regularly and proactively identifying opportunities for greater efficiency.
  • Proactively manage dependencies, issues, gaps and resource distribution issues.

Process Optimization & Resource Management

  • In partnership with the Director of Internal Comms and Campaigns, clearly establish the role of a PM on campaigns, and build an efficient process to better align with changing stakeholder and organizational needs.
  • Maintain team resources including Box folders, resource pages, and PM tool automations.
  • Produce and maintain project implementation plans, budgets, vendor contracting and onboarding, status reports, and all other project management-related documentation in a timely manner.

Job Requirements:

Work Experience:

  • 5-7 years of experience in project management, campaign-focused, strategy, or business transformation role, with gradually growing responsibilities and a track record of high performance.
  • Experience with day-to-day workflow management, and examples of how you’ve identified issues or bottlenecks and implemented strategic changes.
  • Experience in running large-scale, cross-functional projects.
  • Strong organizational and time-management skills; proven ability to prioritize against multiple simultaneous demands and deliver at a fast pace.
  • Strong analytical skills, commitment to structure and creatively solve complex problems, seeing beyond the status quo.
  • Excellent verbal and written communication skills; able to distill lots of information into a compelling story with clear recommendations.
  • Strong meeting facilitation and presentation skills.
  • Demonstrated ability to work effectively with collaborators at all levels, especially senior leadership.
  • Highly collaborative and able to work independently, in a multifaceted, cross-functional global team
  • Experience leading project teams and coaching more junior team members
  • Ability to respond positively to ambiguity and be resilient to shifting priorities and setbacks.
  • Highly proficient in Microsoft Office suite, experience with PM tools preferred.

Preferred Experience:

  • Experience in a humanitarian or development organization, or in the nonprofit space.
  • Working knowledge of project management tools and software including Monday.com
  • Knowledge of fundraising, communication, and/or advocacy in humanitarian or development contexts.

Working Environment: This role requires working remotely full-time (i.e., telecommuting). Applicants must have a home or alternate workspace where they can effectively complete their work during regularly scheduled hours.

Compensation: (Pay Range: $82,000 - $93,600**)** Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
