Under the direct supervision and guidance of the Chief of Staff and overall supervision of the Secretary-General, the incumbent will support the coordinating functions within the Executive Office of the Secretary-General (EOSG)Duties and Responsibilities
1. Support the management and coordination of activities and work output of the EOSG;2. Draft documents under the responsibility of EOSG for Council, Assembly, and other relevant meetings;3. Act as Secretary to Council Working Groups and participate in relevant meetings, as needed;4. Review the recommendations from the Joint Inspection Unit (JIU) addressed to EOSG and the IMO Governing Bodies, and coordinate the implementation of the agreed recommendations;5. Support the work of existing and future cross divisional working groups relevant to EOSG such as multilingualism, diversity and inclusion, racial equity and equality, internal communication;6. Support the organization of internal and external events under the responsibility of EOSG (conferences, workshops, briefings, etc.);7. Support the implementation of existing and future projects under the authority of EOSG such as actions to enhance the Organization’s data management agenda (GISIS review, IMO Member State number scheme, etc.);8. Support the Chief of Staff in the engagement with the UN High Level Committee on Programmes (HLCP), and coordinate implementation of its decisions;9. Support the coordination of EOSG with other UN agencies to improve collaboration and cooperation with the implementation of UN-wide activities such as the Agenda for Sustainable Development 2030 and the Pact of the Future;10. Support the coordination of policy development, including the review and analysis of issues and trends, preparation of evaluations or other research activities and studies; and11. Perform any other related duties, as requiredRequired Competencies
Experience
Minimum of two years of professional experience in an executive and administration coordination to Directors/Senior Management Team is essential. Experience in drafting policy development and business analysis is essentialEducation
University degree, in public/business administration, political science, maritime administration or a related fieldLanguage Skills
Proficiency in English, both written and oral. Proficiency in another official language(s) of the UN would be an assetOthers
Proficiency in MS Office, including Teams and SharePoint, is essential. Experience in developing policies, implementation, and evaluation is essential. Experience in business process improvement and change management would be an asset.Experience within the UN system/International organization would be an asset
