The Nigeria INGO Forum (NIF) was established in 2014 to facilitate collaboration among international non-governmental organizations (INGOs) in Nigeria for humanitarian, development, and peacebuilding efforts. It serves as a vital platform for information sharing, advocacy, and engagement with authorities, donors, and the UN, ensuring the inclusion of INGO perspectives and those of affected populations in decision-making. Governed by a core membership of 59 members and nine observers, it operates under a Steering Committee comprised of five Country Directors and a Chair, supported by a Secretariat.

We are looking for an enthusiastic and passionate Logistics officer (Maternity Cover) to join our team in Abuja, Federal Capital. The Logistics Officer(Maternity Cover) will provide specialized administrative and logistical support to the Nigeria INGO Forum (NIF) office and team in Abuja. This position is responsible for ensuring efficient technical administrative processes, asset management, and logistical coordination to support the NIF’s activities in Abuja.
Administrative Support:
- Work with NRC operations team to ensure compliance with all NRC procurement, asset, operations and donor policies. Implement and support adherence to host organization policies, procedures, and guidelines.
- Coordinate with NIF operations coordinator in planning, developing and monitoring program activity and work plans for all NIF program activities.
- Provide administrative support to NIF office, including managing procurement processes in liaison with NIF operations coordinator, ensuring all procurement related documents and contract tracker are updated and retained properly.
- Collaborate with NIF operations coordinator in planning and organizing all required meetings, workshops, events, and other INGO Forum activities, ensuring all necessary resources are available for events and smooth logistical execution.
- Assist in budget preparation and monitoring of administrative expenses. Prepare, update and submit relevant administrative and financial documents to the host organization as required.
- Ensure the timely submission consultants and vendor invoicing. Process invoices, receipts and other financial documentation in collaboration with the finance department.
- Oversee the daily operations of the office, maintaining an accurate inventory of office supplies, stationery, and consumables. Manage restocking, tracking and distribution processes, ensuring that all materials and stationery are available and adequately stocked.
- Organize and maintain office assets in the Abuja office, ensuring effective use and maintenance.
- Maintain accurate records and filling systems for procurement documents, contracts and other relevant documents. Maintaining high standards in documentation and administrative processes.
Logistical Support:
- Ensure all logistics, car hire, and transportation activities align and comply with the host organizations policies, security guidelines and protocols.
- Coordinate with NIF program teams and NRC logistics team to align logistics needs with project timelines and objectives.
- Oversee regular maintenance and repairs of NIF office vehicle, while monitoring fuel consumption and ensuring efficient use of the vehicle.
- Coordinate travel and hotel accommodation arrangements for NIF staff and guests within Abuja, liaising with NRC logistics team and security team.
- Manage logistics and car hire for INGO Forum activities for staff and guests’ movements, liaising with NRC logistics team in coordination with relevant NIF team members, ensuring compliance with operational procedures.
- Act as the NIF’s focal point for UNHAS, managing staff travel bookings and ensuring compliance with PSEA (Prevention of Sexual Exploitation and Abuse) protocols.
- Bachelor’s degree in business administration, Finance, or a related field.
- At least 3 years of experience in administrative and logistical support roles, preferably in an INGO or similar setting.
- Demonstrated ability to handle procurement processes, operations, asset management, and logistical coordination.
- Strong organizational and multitasking skills with attention to detail.
- Proven capability to work effectively in a team and provide guidance on technical and administrative matters.
- Knowledge of compliance and reporting standards for procurement and asset management.
- Excellent communication skills and the ability to engage with external stakeholders, including government agencies.
