Action Against Hunger USA is part of the Action Against Hunger International network. As an independent NGO, Action Against Hunger USA currently manages operations in 8 countries: Kenya, South Sudan, Somalia, Tanzania, Uganda, Ethiopia, Zambia and Haiti.

I. Job Summary

Action Against Hunger is seeking an Office Manager and Administrative Assistant to the CEO to support its Washington, DC office. We are seeking a self-motivated professional with aptitude for working with DC based employees, senior leadership, and other key stakeholders. Successful candidates will be problem solvers with exceptional communications skills. They will ensure day-to-day office operations run smoothly, will be detail-driven, all while approaching work with humor, flexibility, and creativity.

  • Purpose: Ensure Action Against Hunger’s Washington, DC office runs efficiently and provide administrative support to the CEO and other Executive Team members as needed.
  • Engagement: Collaborate closely with Chief of Staff on administrative assistance matters for the CEO. Will also engage with IT, HR, and building management on office-related matters.
  • Delivery: Provides daily management of activities for the DC office and calendar, travel, and event logistic support of the CEO.

Key activities in your role will include

II. Essential Job Duties

Office Management

  • Provide general administrative support to the DC office (e.g., coordinate supplies)
  • Provide general IT support to the DC office (e.g., conference call support, basic hardware set-up)
  • Serve as liaison with property management and coordinate service requests.
  • Serve as liaison with other office vendors (e.g., cleaning company, plant maintenance, etc.).
  • Greet and support guests and staff visiting the Action Against Hunger Washington, DC office.
  • Manage incoming and outgoing mail, packages and correspondence.
  • Screen and direct emails and calls to the appropriate staff member.
  • Manage issuance of keycards and serve as the Datawatch point of contact.
  • Collaborate with DC Office Lead and HR on hybrid in-office work schedule and use of shared workstations/offices.

Administrative Support to the CEO

  • Provide scheduling support and calendar management for the CEO.
  • Provide timesheet support to the CEO.
  • Manage invoices and payments; reconcile CEO credit card expenses.
  • Prepare and file reports, presentations, meeting minutes, and memos.
  • Draft recurring internal communications for review by CEO and Chief of Staff.
  • Maintain Office of the CEO and Executive Team content on relevant SharePoint sites.

Travel

  • Serve as one of two admins for the organization’s travel system (Concur Solutions)
  • Support booking and approval of domestic and international travel for the CEO.
  • Process travel expense reports and other related travel documents for the CEO.
  • Support coordination of domestic and international travel for DC staff and provide backup for both when needed.
  • Support group travel to offsite retreats and similar events.

III. Physical Demands

  • While performing the duties of this job, the employee is required to sit for long periods and to concentrate on typing and turning out heavy volumes of work accurately, within tight deadlines in a fast-paced environment.
  • To travel to the field, the employee must attest to a level of physical fitness capable of enduring physically difficult, highly stressful situations which may include the necessity to walk long distances, to eat a limited diet and/or to reside in potentially uncomfortable housing or tents.

IV. Working Conditions, Travel and Environment

  • The office management duties of the job require in-office job attendance five days per week. Must be available to work outside normal office hours or on the weekends as required by contact with the missions, mission security, or other obligations.
  • Must be able to travel as required for standard domestic and international business travel as well as to the missions if appropriate. While visiting the field, the employee may be exposed to precarious settings under high security risks and/or very basic living conditions and outside weather conditions, as well is to infectious diseases.

V. Required Qualifications

  • Associate’s Degree with 3 to 5 years of experience. Bachelor’s Degree is a plus.
  • Knowledge of Internet Technology.
  • Current Notary public or willingness to obtain a commission.

  • Strong organizational skills, extremely detail oriented.
  • Excellent written and verbal communication skills are a must. Experience communicating in different cultural work environments preferred.
  • Ability to work both independently and as a flexible and supportive member of a team.
  • Demonstrated experience and/or personal commitment to promote gender equality and diversity.
  • Ability to work in a stressful environment, respect and enforce deadlines, take initiative, and prioritize multiple tasks with minimal supervision.
  • Excellent interpersonal skills
  • Previous experience with SharePoint preferred
  • Must be authorized to work in the U.S.
  • Fluency in written and spoken English required. Additional languages a plus.
