The Team

In June 2020, the foundation hired a Chief Communications Officer (CCO) and established a new Communications Division to oversee the foundation’s global communications strategy. The division brings together internal and external communications to advance the foundation’s mission of a more equitable world.

Position Summary

We are seeking a Senior Project Manager to support the Office of the CCO (OCCO) and work across the Communications division to fulfill our top strategic and operational priorities, as well as oversee the planning and execution of projects and activities. A priority responsibility for this role will be supporting the implementation of our Diversity, Equity and Inclusion (DEI) Framework and Action Plans. This is a new role in the OCCO, developed to add project management capability and to support the division in its evolution and adoption of DEI strategies.

The ideal candidate will have knowledge of strategic communications in a global context, experience staffing senior executives and managing complex projects with multiple stakeholders and priorities, as well as exceptional organizational and written communication skills, and experience implementing diverse and inclusive policies and procedures.

What You’ll Do

Provide project management for cross-divisional core meetings and workstreams including supporting the Communications Leadership Team (CLT) (by designing agendas, developing materials, facilitating meetings and retreats, note taking and action items), supporting OCCO and sub-team meetings and retreats, and developing and preparing materials for meetings and engagements.

Provide leadership for the division’s DEI action plans in support of the working groups priorities, action plans, and timelines. Partner with the DEI lead for the division to ensure seamless coordination of all working projects.

  • Ensure effective convening and communication with core team members, stakeholders, leadership teams and the Communications division (i.e. status updates, solution-finding, risk/issue management, proactive process development/management and ensuring effective decision-making).

  • Prepare and deliver executive level briefings and/or decision support as required. Communicate effectively at all levels and draft materials and messages that resonate across a wide range of audiences.

  • Coordinate planning, logistics and materials for team events, meetings, and retreats of varying levels of complexity and size. Develop and disseminate meeting/event materials and handle comprehensive communications for internal and external participants and partners.

  • Proactively engage and lead cross team and divisional planning and prioritization processes, partnering closely with Global Communications leadership and teams to manage toward effective goals and execute against timelines and deliverables.

  • Engage in ad hoc strategic projects when needed.

Diversity, Equity and Inclusion Project Management Overview

  • Serve as DEI subject matter authority for the division, and collaborate closely with the DEI Center of Excellence.

  • Define organizational change approach, identify interdependencies with other planned work efforts and support leadership communications.

  • Convene and communicate with project team members and collaborators on DEI Action Plan implementation. Track progress toward stated outcomes through identified measures and indicators and communicate timely progress updates to internal partners.

  • Plan for working group meetings and prepare communication (establish the agenda, prepare input materials as needed, capture the notes/outputs, prepare updates for relevant meetings).

  • Support DEI learning agenda by making critical links between needs identified in the action plans, materials available for self-service, and nuanced plans based on division/regions’ core work.

  • Implement process for updating DEI Action plans. Proactively identify issues, risks and key dependencies, recommendation and resolutions.

Your Qualifications

We are seeking an organized, creative, problem-solver with experience leading multidimensional projects and campaigns that span large, complex, global organizations. We need someone who understands the communications and diversity/belonging landscapes. We're also seeking someone who brings joy, lightness and genuine humor to collaborative work. Additional qualifications include:

  • Deep knowledge/experience in project management. Solid knowledge and expertise utilizing current project management tools, change management frameworks and technical and archival platforms (e.g. Teams, Dropbox).

  • Ability to work well and communicate broadly with a wide range of internal and external partners. Excellent verbal and written communication skills, including detailed editing, proofreading, and ability to conduct research and analysis when needed.

  • Ability to offer creative solutions to sophisticated problems and translate options into implementable solutions.

  • Experience handling opposing priorities with projects and stakeholders. Thoughtful mediation and negotiation skills to ensure projects are incentivized for broad groups.

  • Self-starter, ready-learner with experience moving strategies and processes forward independently and intuitively. Can lead without authority and is able to build and nurture strong relationships.

  • Values that align with the foundation, including humility and passion for the foundation’s mission.

Education and Experience

  • Bachelor’s or other advanced degree and 7+ years of project management, or equivalent experience

  • Project management professional certification desired

  • Some knowledge of communications, creative, brand processes

  • Experience working in non-profit/public health, government, communications, creative agency, or private sector organization is strongly preferred

  • Experience working on DEI initiatives in an organizational context (i.e. employee resource groups, DEI policy development and implementation)
