Job Description
  1. Context

Information Hubs on Migration are centers that provide safe and accurate information on migration procedures, services, risks of irregular migration and regular migration options for migrants. They are managed by national and local authorities and are supported by IOM. The information hubs seek to contribute with the improvement of migration management and promote the protection of migrants.

There are currently more than 40 Information Hubs located in 7 countries in Mesoamerica and the Caribbean. Most of them work with the support of the IOM Western Hemisphere Program, funded by the Bureau of Population, Refugees and Migration of the Department of State of the United States.

One of the challenges faced by the staff in charge of the Information Hubs is having the technical resources and expertise to ensure compliance with IOM's Data Protection Policy and information management. Therefore, as part of the actions of the Western Hemisphere Program, IOM is implementing a capacity-building strategy for these centers, particularly regarding their technical capacities in data and information management. Therefore, the services of a provider (company/center or technological institute) are required to impart a training program in Microsoft Excel and Access and Office 365 for the staff in charge of the hubs.

  1. Main functions

Under the general supervision of the National Coordinator and the Program Support Officer, and the technical supervision of the Information Management Officer, the supplier shall:

  • Provide virtual and/or face-to-face training to the staff in the information hubs in Office 365, specifically in the management and use of SharePoint, OneDrive, Teams, Yammer, and Outlook focused on compliance with IOM Data Protection Policy and the analysis of data and information.
  • Provide virtual and/or face-to-face training to information hub staff in Excel, specifically in the environment, formats and classes, formulas and functions, charts and data bases focused on compliance with the IOM Data Protection Policy and data and information analysis.
  • Provide virtual or face-to-face training to information hub staff in Access, specifically in the Access environment, data base standardization, tables, table relationships and selection queries with a focus on compliance with the IOM Data Protection Policy and data and information analysis.

  1. Compliance indicators
  • Number of people trained in Excel, Access, and Office 365.
  • Approval notes of the people trained in Excel, Access, and Office 365.
  • Memory of the trainings in Excel, Access, and Office 365.
  1. Payment method:

Payment of the fees will be made upon completion of the three training sessions. In order to proceed with the payment, the supplier company must prepare a report with the details of the training, number and names of attendees, approval note, place and days of the training, among others. The products must be approved within the previously stipulated period. In the event of delays in the delivery of the products and/or approval due to dissatisfaction with the compliance indicators, payment will naturally be delayed until the product is presented under the established conditions.

  1. Requirements

- Company with experience in Statistics, Mathematics Education, Computer Science, Business Informatics, Data Management, or related areas.

- Four years of relevant experience in training Office 365, Microsoft Access, and Microsoft Excel packages.

- Current Microsoft certification.

- Four years of experience in virtual, face-to-face or distance education with methodologies adapted for all types of audiences.

- Experience in training with international organizations, non-governmental or governmental organizations.

- Professional technical command of the English language (essential).

Suppliers interested in participating are requested to submit the following documents:

  • Description (maximum three pages) of the company based on its experience.
  • Letter of interest
  • Technical offer indicating the methodology to be used, number of hours per training and available schedules.
  • Financial offer indicating the global cost of the three training sessions.

The bid together with the listed documents must be sent to the mail iombelize@iom.int indicating in the subject of the mail the name of the consultancy.

The deadline for receipt of bids is 12:00am on May 24th, 2021.
