JOB SUMMARY

Reporting to the Manager, the Accounting Assistant is responsible for providing efficient and effective support to the Accountant through the use of sound finance and accounting practices, ultimately contributing to the strategic goals of the unit.

KEY DUTIES:

  • Maintain security and confidentiality of sensitive information in accordance with organizational policy.
  • Ensure that valuables and other assets are properly stored and secured in accordance with prescribed guidelines.
  • Support the day-to-day operational activities of the assigned business units within the Finance and Accounting Unit.
  • Manage customer and vendor relationships for the efficient handling of payments, requests and queries.
  • Prepare payments to suppliers, consultants, service providers, contractors and grants promptly, in accordance with prescribed guidelines.
  • Manage bank lodgments promptly and securely, ensuring that these are supported by appropriate documentation where necessary.
  • Generate and dispatch customer invoices and take appropriate follow-up action for the collection of receipts
  • Prepare bank, credit card, general ledger and supplier account reconciliations in a timely manner.

· Record expenses and revenue receipts into the accounting software in a timely manner.

· Prepare and submit VAT claims, ensuring that these are properly reviewed and authorized.

· Prepare travel advances and review retirements as per travel policy.

· Assist with the preparation of quarterly reports to business units.

· Support the Accountants in meeting external and internal audit requirements.

· Prepare and dispatch payroll and related submissions for the Organisation as may be required.

· Maintain the physical and electronic filing of records of all relevant financial information.

· Assist with any other duties assigned by the Chief Financial Officer.

· Provide business partner support to the assigned business unit in the preparation of the annual budget

EXPERIENCE & KNOWLEDGE

  • At least three (3) years experience as an accounting assistant within a medium to large scale organisation
  • ACCA level 1 or equivalent professional qualification
  • Excellent communication skills
  • Strong organizational, analytical, and problem-solving skills
  • Ability to follow instructions and manage time effectively
  • Ability to prioritise competing assignments
  • Intermediate use of office management tools and accounting software
  • Sound decision-making skills

TERMS OF APPOINTMENT

The role of Accounting Assistant is open to nationals of OECS Member States.

JOB LOCATION

The OECS Commission, Castries, St. Lucia.

BENEFITS

The position is on a fixed-term basis subject to satisfactory annual reviews. Salary will be commensurate with qualifications and experience and exempt from income taxes. In addition to the basic salary, the post attracts other allowances. The incumbent will be eligible for membership in the Organisation’s non-contributory Group Health and Life Insurance Scheme.
